The Finance Administrator supports day-to-day administrative operations across multiple European and Middle Eastern entities, with a primary focus on accounts payable, expense management, cash funding, and bookkeeping support. This position requires strong attention to detail, comfort working across multiple bank accounts and jurisdictions, and close collaboration with Finance, external advisors, and service providers.
Key Responsibilities
Accounts Payable, Bookkeeping & Cash Administration
- Process invoices for all regional offices, ensuring timely payment and compliance with approval and accounting procedures.
- Support Accounts Payable and Collections activities, including invoice tracking, documentation support, and coordination with Finance.
- Review Expensify expense reports for accuracy and policy compliance, providing final approval after manager sign-off.
- Approve expense claims and process reimbursements for German office.
- Request monthly funding for European office Imprest bank accounts.
- Maintain accurate records to support audits, reconciliations, and financial reporting.

Handle Client & Vendor queries
Office & Administrative Operations
- Manage office, vehicle, and equipment insurance records and H&S policies across locations, including renewals and documentation.
- Track and report on company car costs.
- Maintain office lease records and key contractual dates.
- Support the company vendor vetting / new supplier process for fraud prevention (TRS-100 process).
Tax & Compliance Support
- Arrange UK quarterly Corporation Tax advance payments based on amounts advised by PwC.

Qualifications
- AAT or equivalent qualifications in Finance, Business Administration, or a related field, or equivalent practical experience.
- Experience working in an international organization would be beneficial.
- Strong experience working with bookkeeping and accounting principles, expense management systems, bank accounts, cash funding processes.
- High attention to detail with the ability to manage multiple deadlines and jurisdictions simultaneously.
- Proficient in Microsoft Suite, Financial tracking Excel spreadsheets, accounting software and databases
- Ability to manipulate and organise large amounts of data
- Professional discretion and ability to handle confidential information.
- Excellent communication skills, organisational skills and attention to detail.
- Language skills advantageous
