£45,000 basic, plus benefits worth over £9,000 a year

Who We Are

Caddi Club, the golf club on your doorstep, opened its first site in March 2022 and has grown into one of the UK's leading indoor golf providers. We now have four clubs across London, in Chelsea, Fulham, Wimbledon and Waterloo, and we have raised twice, most recently at a £10m valuation.

Role Description

This is a full-time role owning the finance and back office function for the whole group. It is a new position, created because the work is currently spread across an outsourced accountant, a few people doing it alongside their day jobs, and the CEO. It works, but only just. Deadlines slip, invoices land in the wrong inbox, and things sit waiting on one person while nobody chases. When something slips it costs us real money in penalties, unclaimed VAT and time.

You will be the reason the group is compliant, the books are clean, the suppliers are paid and the deadlines are hit. You will report directly to the CEO and you will have the whole picture across five legal entities and four clubs.

The Role

This is not a role where you sit in a corner doing data entry. We run Xero, Hubdoc and Claude, and we expect you to use AI to do the mechanical work at speed so your time goes on judgement, chasing and getting things over the line. If you would rather automate a task than get good at doing it slowly, you will do well here.

You need to be organised enough to hold a hundred deadlines in one system, and persistent enough to chase whoever is sitting on the thing you need, including your own boss. We would far rather be nudged twice than miss something.

Main Duties

Group compliance and company administration

  • Own all statutory filings across five legal entities: confirmation statements, accounts deadlines, director verification, registered office and PSC changes
  • Handle company closures, dormancy filings, VAT registrations and deregistrations
  • Manage all HMRC administration. PAYE, VAT and corporation tax correspondence, payment plans, allocations and queries
  • Run pension and NEST administration, ICO registration and the wider annual compliance calendar
  • Build and own a single deadline register for the group

Chasing and follow through

  • Chase suppliers for missing invoices, club managers for paperwork, our accountant for numbers, and the CEO when he is the blocker
  • Escalate on a schedule rather than waiting. If something has been sitting with someone for a few days, it gets a second nudge without anyone asking you to send it
  • Close the loop in writing so there is always a record of what was asked, when, and what came back

Bookkeeping, done with AI

  • Run day-to-day bookkeeping across five Xero entities: purchase invoice capture and coding through Hubdoc, bank reconciliations, supplier statement reconciliations and intercompany recharges
  • Use Claude and similar tools to take the repetitive work off your plate
  • Keep the ledgers clean enough that month-end is a review rather than an excavation

Payroll and people administration

  • Prepare monthly payroll across the group, including commission and bonus calculations for club and coaching staff
  • Handle holiday, contracts and starter or leaver administration

Suppliers, payments and cost control

  • Own supplier relationships on the admin side. Get every account moved onto group email addresses rather than individual inboxes, and keep them there
  • Prepare payment runs and manage direct debits and payment plans. Approval sits with the CEO, execution sits with you
  • Flag cost creep and duplicate spend before it shows up in the management accounts

Reporting

  • Produce and send the monthly site performance pack to each club manager
  • Feed clean, complete data to our accountant so the management accounts arrive on time

Where The Line Sits

You are not replacing our accountant. You are bringing the day-to-day in-house so their time goes on the work that genuinely needs a qualified accountant.

You own: purchase invoice capture and coding, bank reconciliations across all five Xero entities, payroll preparation and commission calculations, Companies House and HMRC administration, supplier accounts and chasing, and the monthly site reporting packs.

Our accountant keeps: statutory year-end accounts, corporation tax, VAT return review and submission, technical accounting advice, and sign-off on the monthly management accounts.

Your First Ninety Days

First thirty days

  • Build the group deadline register. Every entity, every filing, every date, with owners
  • Clear the immediate compliance backlog, including outstanding confirmation statements, one company closure and one dormancy filing
  • Move every supplier account off personal inboxes and onto group addresses

By sixty days

  • Bank reconciliations current across all five entities, with no unexplained items older than a month
  • A working invoice capture routine that the club managers actually follow
  • First month-end delivered on your process rather than the old one

  • Month-end closed within ten working days, every month, without anyone asking
  • Site reporting packs going out to club managers on a fixed date
  • A written list of what you have automated and what you have stopped doing altogether

About You

You are organised, precise and quietly relentless. You like owning something end-to-end and you take it personally when a deadline slips. You are comfortable telling people, including senior people, that you are still waiting on them.

You are curious about tools and you already use AI, or you are visibly keen to. You would rather build a system once than repeat a task fifty times. You enjoy a fast-moving environment where decisions get made quickly and your work is visible.

You do not need to play golf. You will probably end up playing anyway.

Qualifications

  • Three or more years running bookkeeping and finance administration in a small or multi-entity business, ideally hospitality, leisure or retail
  • Strong Xero. You can reconcile, correct and explain, not just enter
  • Direct experience of Companies House filings, HMRC correspondence and UK VAT and PAYE administration
  • Payroll preparation experience
  • Genuine comfort with AI tools. This is not optional here
  • Excellent written communication. Much of this job is chasing clearly and keeping a record
  • AAT qualified, or part qualified ACCA or CIMA, is a plus
  • Multi-entity or group accounting with intercompany recharges is a plus
