As the Finance and Travel Administrator, you will play a pivotal role in streamlining our global travel operations, managing financial processes, and ensuring legal compliance. By taking ownership of these critical functions, you will help us mitigate risks, reduce costs, and create a seamless experience for the global program team.

Please note that this role is fixed term for 12 months working 25 hours per week.

Key Responsibilities

  • Establish a centralised travel management system for the program to streamline processes, control travel costs and ensure adherence to travel policy.
  • Make all travel bookings for program travellers ensuring well-organised and cost-effective travel arrangements are made.
  • Ensure that all trips are registered with the company insurance and security provider to guarantee that all trips are adequately insured, reducing potential financial and legal issues.
  • Ensure program participants have all the necessary resources by developing and maintaining travel packs for our frequently visited locations. These packs will include program contact details, local recommendations, and essential information to make their travels stress-free.
  • Contribute to larger scale events at key points during the program’s journey.
  • Ownership of travel-related trackers.
  • Monitor and provide support to visa related matters, ensuring our staff's travels abroad comply with foreign authorities' regulations, reducing potential legal complications.
  • Responsible for managing payments for the program, including validating and processing invoices, raising new purchase orders efficiently and precisely.
  • Monitoring the Optimus Payments mailbox.
  • Working with a team of coordinators, you may be asked to support other program activities to help with program delivery.

Skills, Knowledge and Expertise

  • Previous experience in finance-related roles, including invoice processing, purchase order management, and budget tracking.
  • Experience in planning and coordinating travel arrangements, ideally within a corporate or programmatic context.
  • Familiarity with maintaining and updating databases and shared resources.
  • Prior exposure to visa compliance and travel insurance protocols is a plus.
  • Experience working collaboratively with cross-functional teams, including program management and finance teams.
  • Strong financial skills, including budgeting, invoice processing, and purchase order management.
  • Proficiency in organising and coordinating travel arrangements, including flights, accommodations, and ground transportation.
  • Exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Excellent organisational skills to manage multiple tasks, travel itineraries, and financial records simultaneously.
  • Strong Microsoft 365 skills.
  • Knowledge of visa and travel-related legal requirements, as well as insurance protocols would be an advantage.
  • Basic project management skills to oversee and implement travel and financial initiatives.
