The Role

As a Finance Assistant, you will be responsible for supporting the Finance Officers to accurately process financial transactions and reconcile bank statements to specified deadlines.

This is an exciting opportunity for an ambitious individual with experience of working in a Finance environment looking to further develop their career.

Specifically, you will:

  • Work closely with other departments across the charity, including our charity retail network, to ensure income is recorded accurately and within the required deadlines.
  • Process a range of other income, and support the Finance Team with HMRC gift aid claims, CAF voucher processing and recording bank interest.
  • Prepare the daily banking which will include depositing at a local branch.
  • Take responsibility for the coding and reconciling of income from our retail network.
  • Raise sales ledger invoices to ensure income is received in a timely manner.
  • Reconcile payments received and identify any discrepancies to ensure all income is accounted for accurately.
  • Assist with processing investment transactions into Finance System.
  • Support the Finance Officer to ensure the effective processing of the Purchase Ledger, ensuring that the charity's expenditure is accurately recorded and that supplier terms are met within the required deadlines.
  • Manage the charity's petty cash (including LVC and Retail petty cash accounts), ensuring that receipts are received and monies are allocated within the finance system.
  • Lead on Purchase Order monitoring, including a daily review of open and part matched Purchase Orders.
  • Work closely with individuals from other departments to ensure Purchase Orders are being raised as necessary and ensuring all information is correct.
  • Be the primary contact for queries relating to the Finance System from users within the charity.
  • Set up new users on the Finance System and lead on training and induction for them, including how to use the system, how to raise a Purchase Order, the use of G/L codes and department codes, and how to approve Purchase Orders and Invoices.
  • Assist the Finance Officer with processing all employee expenses, ensuring they are within policy, have the appropriate approval, and are paid in a timely manner.
  • Lead on the month end reconciliation of stock, and process through the management accounts to meet the 5 working day deadline. Liaise with other departments to ensure stock records are accurate and up to date.

About You

To be considered for this role, you will need:

  • To be educated to a minimum of GCSE or equivalent level or able to demonstrate relevant equivalent experience.
  • To be ideally currently studying for or completed AAT or equivalent.
  • To have proven organisational skills and attention to detail.
  • To have demonstrable experience of working in a Finance Department, including experience on Finance packages and financial transaction processing.
  • To have knowledge of business operations processes, preferably in a charity environment.
  • To have expert proficiency in the use of Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience using a range of platforms and databases including CRM systems.
  • To have excellent time management skills with an ability to manage a range of objectives and meet deadlines.
  • To have excellent communication and interpersonal skills with an ability to engage with a wide range of internal and external stakeholders.
  • To have excellent attention to detail, able to carry out tasks accurately, including correct data entry and reporting.
  • To be highly motivated when working independently and part of a team.
