CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting Finance Coordinator to join our Team in London on a permanent basis.
About The Role
This role is a 13-month Fixed Term Contract.
This role has no direct reports although working collaboration with Finance, Procurement, Facilities Management, Engineering teams alongside our cleaning and fabric vendors.
This position also helps with cover for our wider Finance Support team.
Key Responsibilities
Quality
- Actively identify/implement innovation across the contract to enhance performance and continue to meet client expectations.
- Assist with financials and reporting.
- Ensure all account KPI’s are met.
- Activity tracker
- PJM invoice tracker
- Region management for Financials
People and Development
- Promote and maintain CBRE culture throughout teams.
- Review timesheets weekly to ensure this is being booked against the correct Work Orders.
- Communicate effectively and build/maintain relationships at all levels with internal and external customers
- Answer calls and emails in a professional and timely manner.
- Attend and participate in any relevant training courses.
- Attend regular role specific meetings in order to share best practice.
Contract
- Issue orders in region are correct and maintained
- Ensure use of Preferred Suppliers is maximized and best practice “better buying” is in place.
- Familiar with daily operations and the specific scope of the contract e.g. which services are covered and which are chargeable.
- Know the financial model of the contract and be able to determine how the financials should be ran
- Onboarding request of new suppliers required by EMEA team

Finance
- Ensure integrity of financial transactions for contract.
- Attend and actively participate in weekly finance meetings
- Raise sales invoices (complete billing) weekly in line with contract plan, meeting monthly forecast at the correct margin.
- Raising SOX Billing Checklists in line with process and gaining approval
- Run and review open purchase order report (OPO) weekly, chase as required and implement updates as necessary with specified region
- Run and review GRNV Report weekly, chase as required and implement updates as necessary with specified region
- Run and review Unmatched referral Report weekly, chase as required and implement updates as necessary with specified region
- Resolving of referral queries in E1 and Coupa Finance systems
- Completion of weekly / monthly reports sent from the EMEA Finance Support Lead in a timely manner.
- Raising own reports on finance system when required.
- Ensure region receipting of purchase order in line with system close requirements
- Management of 2 x finance systems
- Work order Management in PSFT
- Creation of the Monthly EMEA Finance Activity Tracker and highlight any issues to EMEA Finance Support Lead, collating information from various Finance team members
- Carry out monthly Region review of Financial data to ensure
- Provide Financial support to Region where required and be the ‘go to’ person for financial queries
- Liaise with PJM T&T Project Coordinator teams to aid with Supplier invoice payments
- Weekly update of the PJM Invoice Tracker and provide payment status for all outstanding invoices
Dimensions
- Employed within Bank of America Services in a strategically important & highly prestigious account
- Interface with tenants and clients at all levels.
- Integrate fully with all different CBRE departments to ensure seamless delivery of services
- The post holder does not have any directly reporting staff
- This post carries no direct budgetary responsibility
- Understand and demonstrate CBRE RISE values

Personal Experience / Qualifications / Skills
- A good basic education is essential, with good written and spoken English and basic Mathematics skills
- Customer Service skills are essential to this role

- It is essential staff are self-motivated and promote a “Can do” customer attitude at all times
