LeadDev runs a global series of conferences and publishes original content for software engineering leaders. Our Finance and Customer Service team supports this by looking after our customers and community, and keeping our financial records accurate and up to date.
The opportunity
We're looking for a Finance & Customer Service Executive to join our Finance & Customer Service team. This is a varied role and a great opportunity to build hands-on experience across finance and customer service. You'll work on invoicing, payments, reconciliations and credit control in Xero, and manage our customer inbox, helping delegates, sponsors and contributors get the answers they need.
What you'll do
You'll manage the full cycle of our sales and payments: raising invoices for delegate ticket sales, setting up customers on their payment portals, and chasing overdue invoices. You'll process supplier and contributor payments through Dext and ApprovalMax, and reconcile our bank accounts, credit cards and Stripe ticket sales in Xero. You'll also look after our customer inbox, answering questions from delegates, sponsors and contributors, and passing useful feedback to the wider team. Alongside this, you'll help run our monthly London team days and keep our office admin running smoothly.
What we're looking for
You'll have experience in a finance or bookkeeping role, using Xero, and you'll be comfortable reconciling bank, card and ticketing payments. What matters most is that you're precise with numbers, organised enough to juggle invoices, payments and inbox queries at once, and confident in communicating with customers and suppliers directly, including when chasing a late payment.

Why this role
This is a role where you'll see how a growing events and media business really works. You'll work closely with our Finance Director and Finance Manager, get hands-on experience across the full finance cycle from invoicing to reconciliation, and be the voice of LeadDev for our customers and community.
Key accountabilities
Sales and accounts receivable
- Completing customer onboarding forms, setting up customer payment portals, and obtaining purchase orders
- Invoicing for delegate ticket sales
- Ensuring revenue is coded to the correct general ledger account and project code
- Reviewing accounts receivable ageing on a weekly basis
- Following up and liaising directly with customers regarding overdue invoices
- Responding to payment-related enquiries to support prompt payment
- Flagging if there are concerns about non-payment for past due invoices
Purchases and accounts payable
- Processing supplier invoices payable in Dext
- Processing contributor payments in Dext
- Ensuring expenses are coded to the correct general ledger account and project code
- Assigning the correct approvers to payables within ApprovalMax
- Following up with team members for any invoices not progressing through approval process in ApprovalMax
Banking and cash management
- Processing in Xero the cash receipts in bank accounts to relevant customer invoices
- Processing in Xero the cash payments in bank accounts to relevant supplier invoices
- Processing in Xero the credit card expenditure to supplier invoices
- Reconciling ticket sales received through our Stripe account in Xero
- Follow up with wider team where supplier invoices for expenditure has not been provided
- Bank reconciliations for bank accounts, including Stripe and various credit cards

Customer Service
- Respond to enquiries and keep customers informed by email
- Deal with a wide range of queries, issues and feedback
- Provide a high-quality, responsive customer experience
- Pass on feedback to the wider team
- Ensure timely and meticulous ticketing and invoice processing
General Business Administration
- Managing team access to the LeadDev office space and ensuring those employees who use the Old Street office on a regular basis have the required access card
- Organisation of monthly team days in central London, including booking venue space and ordering food for large team meetings
- Support with ad hoc office administration where required
Essential
- Xero software experience
- Extensive experience with transactional finance processes
- Exceptional attention to detail
- Strong understanding of basic accounting principles
- Highly organised, with excellent planning, prioritising and time management skills
- Confident communicating with external customers and suppliers in a professional, and friendly way
- Able to pick up new software quickly (Dext, ApprovalMax, Tito, Stripe, Salesforce)
- Comfortable working independently in a remote-first team
