About the role

Are you thoroughly comfortable with numbers and financial documents, and also a super detail-oriented, tech-confident generalist who enjoys being the person who makes things work behind the scenes? When you spot something that needs doing, a finance process that’s clunky, a system misbehaving, a report that needs sharpening, do you take the initiative to sort it and see it through? Do you feel confident in your skills and acumen as a writer and communicator? Would you be happy working in a remote-first environment, with colleagues distributed throughout the U.K.?

Cadence Partners are looking for a Finance & Digital Ops Coordinator to keep our financial systems running smoothly whilst also taking ownership of the digital systems and tools that keep us running.

This would be a great opportunity for someone who brings solid bookkeeping and finance-administration experience and also enjoys the variety of operational and project support work. You’ll be at the heart of Cadence, running key financial processes on our accounting software, managing our digital systems and tools, supporting our consultancy projects and executive search assignments, and liaising with colleagues, clients and suppliers along the way.

No two days will look the same, and we’re looking for someone who can lean in and continue growing in the role.

What you’ll be doing

  • Owning day-to-day bookkeeping on Xero, raising and processing invoices, managing sales and purchase ledgers, running payment runs and completing bank reconciliations accurately and independently
  • Keeping Xero accurate, complete and up to date, so our monthly reporting is timely and reliable
  • Preparing information ready for our monthly financial management pack, which will then be signed off by our accountants
  • Maintaining clean reconciliations across the bank, VAT and our invoice-financing accounts, so the numbers stay trustworthy month to month
  • Supporting month and year-end processes, fixed asset registers and financial reporting
  • Working alongside our external accountants, who review and sign off the technical judgement calls while you own the day-to-day preparation and keep everything current
  • Owning the day-to-day administration and trouble-shooting of our applicant tracking system (ATS) on the admin/ops side, and liaising with outsourced technical support for anything beyond your remit
  • Updating, editing and maintaining our website, including updating content, tweaking layout, and basic troubleshooting
  • Organising, structuring and managing our SharePoint environment
  • Providing end-to-end operational support across our executive search assignments, from processing applications to coordinating interviews and references
  • Drafting, proofreading and refining correspondence and reports to a high standard
  • Acting as a primary point of contact for internal and external queries via email or phone
  • Key contact for client communications and scheduling
  • Providing wider administrative support to and working closely with our Head of People and Business Operations and Senior Leadership teams, including the Managing Director
  • Producing and polishing materials for leadership, client and pitch use, as needed (training can be provided)
  • Spotting opportunities to improve our systems and processes, and taking the initiative to fix them
  • Occasionally traveling to work with and supporting colleagues and/or clients on site (locations variable, but may include London, Nottingham and client locations)

What we’re looking for

  • Hands-on bookkeeping experience on Xero (or a comparable cloud accounting system), confidently running ledgers, payment runs and bank reconciliations independently, and comfortable preparing month-end information
  • AAT-qualified or part-qualified, OR qualified by experience, you’ve done real bookkeeping and management-information preparation before, whether or not you hold the certificate. You will not be signing off the technical judgement calls (which will be the job of our accountants), but you do need to prepare the numbers competently and notice when something looks off
  • Comfortable turning numbers into a clear, leadership-readable story, and building a simple cash-flow forecast from known inflows and outflows
  • Genuine confidence with technology, comfortable picking up new systems (including AI-native tools) fast and troubleshooting independently before escalating. An ability to see and understand tech-stack interdependence and flow is vital.
  • A true generalist who's happy to turn their hand to anything, from finance admin to sorting out a broken web page to using AI tools
  • Extremely detail-oriented, with a keen editorial eye
  • A proactive, self-starting problem-solver who takes ownership and leans in
  • Excellent organisational, written communication and time management skills
  • Comfortable working both independently and as part of a small, collaborative team
  • A strong sense of integrity, confidentiality and professionalism, particularly around financial and payroll information
  • Ideally, 1–2 years’ experience in an admin, operations & finance or coordinator role, with real responsibility for a system, tool or platform
  • Confidence with Microsoft tools (Sharepoint; MS 365, including Excel, Outlook, Word, Powerpoint)
  • Desirable: familiarity with VAT returns, payroll journals, and pay-and-bill or invoice-financing arrangements, or the confidence to get up to speed quickly with our accountants’ support
