Finance & Freelance Operations Coordinator

Location: London
Salary: £38,000–£42,000 depending on experience
Experience: Ideally 4–5+ years in accounts payable, finance operations or a similar role

Path is a London-based recruitment consultancy specialising in the creative industries. We work with some of the most exciting advertising agencies, design studios, brands and in-house creative teams, connecting them with exceptional creative talent across both permanent and freelance roles.

We're a small, experienced and growing team with a personal, considered approach to recruitment. Relationships are at the heart of what we do, and we're looking for someone who can bring that same level of care and attention to our finance and freelance operations.

The Role

We're looking for an experienced and highly organised Finance & Freelance Operations Coordinator to take ownership of our day-to-day accounts payable function while playing a key role in managing and onboarding our freelance workforce.

This is an important role within the business, sitting at the intersection of finance, operations and freelancer experience. You'll make sure our freelancers are onboarded smoothly, paperwork and compliance are in place, invoices and timesheets are processed accurately, and everyone gets paid correctly and on time.

You'll work closely with the Path team, our freelancers, clients and external accountants to keep everything running efficiently behind the scenes.

Key Responsibilities

Accounts Payable & Finance

  • Managing the day-to-day accounts payable process.
  • Processing supplier and freelancer invoices accurately and on time.
  • Preparing and managing regular payment runs.
  • Reconciling invoices, payments and accounts.
  • Managing expenses and finance-related administration.
  • Maintaining accurate records within Xero and other finance systems.
  • Resolving invoice and payment queries from freelancers and suppliers.
  • Liaising with our external accountant and providing information when required.
  • Supporting cash-flow visibility and general financial reporting.
  • Helping improve and streamline our finance processes as the business grows.

Freelancer Onboarding & Operations

  • Managing the onboarding of freelancers from confirmation of booking through to their first day.
  • Collecting and checking all necessary freelancer documentation.
  • Coordinating contracts and ensuring paperwork is completed correctly.
  • Managing right-to-work and relevant compliance checks.
  • Supporting IR35 and employment-status administration where required.
  • Setting freelancers up correctly within our systems.
  • Managing timesheets and ensuring they are submitted and approved on time.
  • Acting as a friendly and knowledgeable point of contact for freelancers regarding contracts, timesheets, invoicing and payments.
  • Working closely with our recruiters to ensure a seamless experience for both freelancers and clients.
  • Maintaining accurate freelancer records and keeping systems up to date.

About You

You'll ideally have around five years' experience within accounts payable, finance operations or a similar role. Experience within recruitment, staffing, a creative agency or another freelancer-heavy business would be particularly useful.

You'll be someone who is naturally organised, enjoys getting the details right and takes ownership of their work. Just as importantly, you'll be confident dealing with people. Our freelancers are an important part of the Path community, so we want their experience with us to feel personal, professional and straightforward.

You'll be:

  • Highly organised with excellent attention to detail.
  • Confident managing multiple deadlines and payment cycles.
  • Comfortable working independently and taking ownership.
  • Experienced with accounting software, ideally Xero.
  • Confident with spreadsheets and financial administration.
  • Comfortable communicating with freelancers, clients, suppliers and accountants.
  • Calm and proactive when resolving problems.
  • Interested in improving systems and finding more efficient ways of working.
  • Friendly, approachable and happy being part of a small, collaborative team.
