Position: Finance and HR Manager
Reports to: CFO
Responsible for: Finance Department (1 Staff)
Location: On site at NCIMB laboratory in Dyce, Scotland
Job Overview
The Finance and HR Manager supports the CFO in delivering the finance function and ensuring the timely and accurate delivery of financial reporting for internal and external stakeholders. This hands-on role is focused on compliance, regulatory requirements, and providing support to the wider commercial and operational team, ensuring strong financial governance and supporting effective operational delivery.
The role works closely with the CFO and senior management to provide financial insights, while supporting the delivery of all reporting, budgeting, audit, statutory requirements and system administration of the supporting business systems.
The role provides operational HR administration, systems management and filing support, working with outsourced HR advisers to ensure HR records and processes are maintained accurately. The role does not provide substantive HR advice or make employment-law decisions; such matters should be escalated to the CFO and outsourced HR advisers.

Responsibilities And Duties
Financial Reporting & Control
- Delivery of month-end close process in line with internal reporting timelines
- Prepare and review key financial reports, including monthly Profit & Loss (P&L), Balance Sheet, and cash flow
- Manage VAT reporting
- Manage banking and payment processes, including currency trading and loan facilities management
- Ensure credit control
- Manage cash flow, including weekly/monthly funding requirements
- Manage submission of payroll to the external payroll bureau
- Systems administrator for Xero and for OpenCRM

Budgeting & Forecasting
- Support the budgeting process and collaborate with departments across the business
- Support the preparation of forecasts (weekly and monthly) and provide financial insights to support strategic planning
- Support variance analysis and provide performance commentary to management
Compliance & Audit
- Support the CFO to deliver to statutory reporting requirements
- Coordinate with external auditors and ensure accurate, timely submissions
- Assist the CFO with external stakeholders including in relation to Annual Tax Computation and the R&D tax credit computation
- Ensure compliance with stakeholder quarterly and annual reporting
- Prepare and manage government statistical reporting obligations including ONS submissions and equivalent reporting process
HR process management
- Manage general HR administration, including employee records, contracts and handbook updates, ensuring records are accurate, secure and maintained in line with NCIMB procedures and applicable data protection requirements.
- Support employee relations administration, including meeting arrangements and associated documentation
- Manage the “YouManage” timesheet system and MyHR online records
Team & Process Leadership
- Mentor, and support the role’s direct report, ensuring high standards and continuous development
- Promote improvements in and compliance with processes, controls, and reporting capabilities across the function
- Systems administration for the Xero and OpenCRM systems
- Work collaboratively with other departments to enhance cross-functional financial understanding
- Work collaboratively with other departments to ensure compliance with HR processes and procedures
- Act as the point of contact for GDPR and other information requests
Commitment to the requirements of ISO 9001:2015, ISO 17025:2017 and Good Manufacturing Practice (GMP) as incorporated into the quality management system of the company.
Responsible for contributing to safe working environment including complying with Health and Safety requirement and by complying with laboratory codes of practice.

Qualifications
Education level:
- A professional accounting qualification (CA, ACCA, CIMA or equivalent)
Experience
Essential
- Experience leading finance teams and developing people
- Confident managing a broad range of day-to-day finance responsibilities independently and to prioritise own workload.
- Strong experience of budgeting, forecasting and financial planning.
- Strong experience preparing financial reports, VAT returns and management information; you will need the ability to interpret data and turn information into meaningful business insight, capable of presenting financial information and data to non-financial managers in a clear and concise manner.
- Demonstrable experience managing payroll and related processes.
- Demonstrable experience of bank reconciliations, invoicing and credit control.
- Demonstrable experience of system administration (e.g. adding, removing users; adding new suppliers / customers; dealing with ad-hoc queries; referring to outsource IT and vendor support as required) preferably including Xero, and an HR system.
- Demonstratable experience of managing change effectively, especially with the adoption of new digital systems.
- Excellent analytical, problem solving, communication and influencing skills, able to build working relationships with customers and internal personnel based on respect and good rapport
- A track record of improving processes, controls and reporting. You will be used to business improvement projects that add value
- Demonstrable experience of contributing to a collaborative, respectful and well-controlled working environment.
Desirable
- Practical experience of Xero
- Previous HR administration experience
- Previous system administration experience
- Experience in life sciences or healthcare sectors
- Experience within organisations providing B2B services
