Finance Manager
Location: 1 Mentmore Terrace, Hackney, E8 3PN (Hybrid working)

The Role
This is a hands-on Finance role responsible for the day-to-day financial administration of the business, supporting operational processes, and providing commercial support to our project delivery teams. Reporting to the CEO, you will take ownership of the day-to-day finance function, ensuring the accurate processing of financial transactions, maintaining robust financial records, and supporting the smooth running of project finances from initial budgeting through to final invoicing.
You will oversee sales and purchase ledger activities, client invoicing, supplier payments, payroll administration, reconciliations, and finance administration, while also taking responsibility for the preparation of monthly management accounts and financial reporting for review by the CEO. You will play a key role in supporting commercial decision-making and driving continuous improvement across the finance function, systems, and processes. This is an excellent opportunity for someone who enjoys working in a fast-paced, project-based environment and wants to play a key role in the growth of a dynamic international events agency.
Key Responsibilities
Project Financials
- Raise project sales invoices
- Track client payment milestones
- Issue Project Acceptance Forms (PAFs) and Change Notifications for client signature
- Ensure project timesheets are submitted and approved
- Review project budgets for margin accuracy and provide financial support to project teams
- Monitor project profitability and support commercial reporting
- Assist with project reconciliations
- Maintain accurate financial project records and documentation

Accounts Receivable
- Raise client invoices
- Monitor aged debt
- Chase outstanding payments
- Maintain customer records
- Reconcile customer accounts
- Resolve customer invoice queries
- Work with procurement portals including:
- Coupa
- SAP Ariba
- Other client purchasing systems
Accounts Payable
- Process supplier invoices
- Prepare and action supplier payment runs
- Reconcile supplier statements
- Review purchase orders to ensure they align with approved project budgets and company approval processes
- Resolve invoice queries
- Maintain supplier records
- Ensure supplier payments align with project cashflow
- Manage company credit cards
- Review supplier contracts
- Monitor supplier payment terms and maintain positive supplier relationships
Banking
- Allocate incoming payments and receipts
- Perform daily/weekly bank reconciliations
- Manage daily cashflow and prepare rolling cashflow forecasts to support business planning
Payroll & HR Finance
- Prepare monthly payroll information for approval
- Liaise with external payroll provider
- Monitor holiday accrual
- Process employee expenses
- Support commission and bonus calculations
- Maintain employee payroll records
- Administer pension contributions
- Process new starters and leavers from a payroll administration perspective
- Maintain accurate employee records within payroll and HR systems
Month/Year-End
- Balance sheet reconciliations
- Accruals and prepayments
- Fixed asset register updates
- Journal postings
- Prepare monthly management accounts
- VAT return preparation and submission
- Adhoc financial reporting packs
- Prepare year-end schedules and supporting documentation for the external accountants, acting as the primary finance contact throughout the year-end process
- Maintain strong financial controls, ensuring compliance with company policies and accounting best practice
Systems and Process Improvement
- Maintain and continuously improve the effective use of:

- Procim
- Monday.com
- People
- YouManage
Experience implementing or improving finance and business systems would be advantageous.

You'll be highly organised, proactive, and detail-oriented, with a genuine interest in finance and business operations and a passion for producing accurate work. Comfortable managing multiple priorities, you'll thrive in a fast-paced environment and enjoy taking ownership of day-to-day finance activities.

You'll be confident building relationships across the business, supporting project teams with financial administration and reporting, and identifying opportunities to improve processes, systems, and ways of working.
Essential Experience
- AAT qualified, qualified by Experience, or part-qualified ACA, ACCA, or CIMA
- 3–5 years' experience in a Finance Manager, Assistant Finance Manager, or Senior Finance role within an SME or project-based business.
- Experience within an agency, events, production, creative, marketing, or project-based business
- Excellent Excel/Google Sheets skills
- Experience using project budgeting or ERP software (Procim experience advantageous)
- Experience using Xero or similar accounting software
- Good commercial awareness and an understanding of project profitability
- Excellent attention to detail

What Success Looks Like
You'll be expected to:
- Take ownership of the day-to-day finance function
- Ensure sales and purchase ledgers are accurate and up to date
- Maintain timely invoicing and supplier payments
- Delivery of accurate month-end reporting
- Ensure Procim and Xero remain accurate, up to date, and aligned
- Improve the accuracy and efficiency of finance processes
- Deliver timely and accurate reporting to support business decisions
- Build strong relationships with project teams and become the first point of contact for day-to-day finance queries
- Support the continued growth of the business by delivering accurate, efficient, and commercially focused finance support
