Finance Office/Accounts Coordinator

Location:

London – 100% Office Based

Salary:

£30,000 – £40,000 + benefits


Our client, an established catering group based in London, is looking for an Accounts Coordinator to join their team.

This is a broad, hands-on role combining office administration, customer and order coordination, and day-to-day accounts support. Working closely with the production, operations and management teams, the successful candidate will play a key role in keeping the office running smoothly while ensuring accurate and timely financial administration.

Key Responsibilities:

  • Manage day-to-day office administration and act as a first point of contact for customers, suppliers, and visitors
  • Manage incoming telephone and email enquiries and support internal communications
  • Prepare and process customer orders, quotations, and related documentation
  • Coordinate deliveries, transport bookings, and order amendments across the business
  • Maintain accurate customer, product, and order records
  • Raise sales invoices and credit notes and send customer statements
  • Allocate customer receipts and follow up outstanding or overdue accounts
  • Process supplier invoices and supporting documentation
  • Reconcile supplier accounts and resolve invoice or payment discrepancies
  • Complete daily bank and transaction reconciliations
  • Maintain accurate cash and financial records
  • Assist with monthly payroll administration and annual leave records
  • Support VAT preparation, cash-flow monitoring, and management reporting
  • Maintain product, pricing, and operational information across internal systems
  • Produce sales and performance information to support management decision-making
  • Provide general administrative support to the Directors and wider management team

  • Previous experience in an office coordination, administration, accounts assistant, or similar role
  • Hands-on bookkeeping or accounts administration experience
  • Good working knowledge of Xero is highly desirable
  • Experience using Dext would be advantageous
  • Strong Excel and general Microsoft Office skills
  • Confident handling invoices, reconciliations, and customer/supplier accounts
  • Strong organisation and attention to detail
  • Excellent communication and customer-service skills
  • Able to prioritise effectively and work accurately in a busy environment
  • Experience within catering, food production, hospitality, wholesale, or retail would be advantageous
