Finance Process Analyst

Job title: Finance Process Analyst

Department: Finance

Reports to: Head of Finance

Location: Unit 29–30 SEGRO Park, Perivale, UB6 7RJ

Contract type: Full-time, permanent

Hours: Monday to Friday

Role Purpose

Autograph Sound is a leading provider of professional audio and audio-visual solutions, serving theatre, live events, broadcast, corporate, and permanent-install markets. The Finance Process Analyst role works closely with the finance and wider operations teams to deliver both ongoing operational support and drive continual improvement that supports longer-term strategic goals. Working as a member of the finance team, the role will have the opportunity to work closely with IT and Compliance partners, both internal and external, to help streamline operations while minimizing risk.

Key Responsibilities

Finance Administration

Daily:

  • Monitor Finance email inbox and reply to emails as relevant
  • Process sales and purchase invoices on InspHire and BC
  • Email sales invoices to customers and maintain/update the Sales Invoice Log
  • Create new customer/vendor accounts on BC as needed
  • Post nominal journals on InspHire
  • Advance discount and proformas sheets to be updated as needed
  • Sales invoices for long-term hires to be placed in the relevant month-end folder as they are issued
  • Filing and any other ad hoc tasks as required

Weekly:

  • Debt-chasing calls and follow-up emails
  • Put together Excel payment runs for freelancers/suppliers and create a text file for Bankline upload once approved
  • Update vendor bank details as needed

Monthly:

  • Posting credit card expenses to Business Central
  • Posting Pleo expenses to Business Central
  • Month-end stock schedule and postings as needed

Annually:

  • Provide documentation for audit as needed

Process Analytics and Development

  • Continuing improvement of IT processes as they affect Finance and wider operations, in particular Business Central, InspHire, and any other relevant platforms
  • Assist and enable the move toward compliance with externally recognized standards
  • Become the point of contact for Business Central support provider (Advantage)
  • Have an agreed ongoing project list, to be reviewed regularly
  • As time permits, optional feedback on company processes outside of Finance

Person Specification

Candidates will be assessed against the criteria below. Essential criteria are required for the role; desirable criteria are advantageous.

Criteria

Essential:

  • Some exposure to a finance, administrative, data, or process environment (placement, internship, part-time, coursework, or first role); accurate work with numbers or data in any setting
  • Use of an accounting/ERP system (Business Central); documenting a process or "how-to" guide; handling invoices, reconciliations, expenses, or reporting
  • Some experience with Microsoft cloud services including Power Automate and Power BI.

Desirable:

  • Solid working knowledge of Excel (sorting, filtering, basic formulas); basic grasp of core finance concepts (income/expenditure, invoices, reconciliations); ability to learn new software quickly
  • Awareness of financial controls and why they matter; familiarity with process mapping.
  • Intermediate Excel (pivot tables, XLOOKUP).
  • Knowledge of existing rental platform (Insphire).
  • Some basic knowledge of SQL and database structure

  • Presenting information clearly in tables, charts, or summaries; confidence asking questions and challenging inefficiency constructively

Qualifications

  • Educated to A-level/diploma standard (or equivalent) including maths or a numerate subject, or equivalent practical experience
  • Degree in related area which demonstrates key core skills of process improvement and analytical thinking.
