Position Summary:
As a Financial Services Administrator, you will play a crucial role in supporting the day-to-day operations of our rapidly growing financial planning firm. You will be an integral part of a collaborative team, working closely with our Financial Planners and other team members, along with the providers we work with, to ensure a seamless and exceptional experience for our clients.
You will be a team player but also self-motivated and able to work on your own initiative.
The ideal candidate would be comfortable meeting and talking with clients and be able to work in a fast-paced professional environment. The ability to present information clearly and concisely with strong written and verbal communication is key.
You’ll play a crucial part in providing administration support to our team. You'll be comfortable working in a fast-paced environment, you will be involved in monitoring all aspects of the daily actions required to support our Financial Planners fulfilling the requirements of client expectations and client operations team’s needs.

Key Responsibilities:
Client Support:
- Assist in the preparation of client meetings by gathering necessary documents and information.
- Provide administrative support for client onboarding and account maintenance processes.
- Respond promptly and professionally to client enquiries, demonstrating a commitment to exceptional service.
Document Management:
- Maintain accurate and organised client files and records in compliance with regulatory standards.
- Assist in the preparation and submission of regulatory compliance documentation.
- Collaborate with the team to ensure accurate and timely completion of paperwork and documentation.
Operational Efficiency:
- Work closely with our Financial Planners and other team members to streamline operational processes.
- Identify opportunities for process improvement and contribute to the implementation of best practices.
- Maintain awareness of industry trends and changes to ensure compliance and efficiency.
- You will need to be organised and have the tenacity to follow up actions to completion.
Team Collaboration:
- Foster a positive and collaborative working environment within the team.
- Collaborate with colleagues to achieve shared goals and contribute to the overall success of the firm.
- Participate in team meetings, training sessions, and professional development activities.

Qualifications & Experience:
- Previous experience in a financial services or administrative role is essential.
- Strong organisational, multitasking and prioritisation skills with a keen attention to detail.
- Strong attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and other relevant software applications.
