Job Title: Finance Specialist

Role Overview

The Employee shall carry out the duties and responsibilities assigned by the Company. The primary purpose of this role is to support the effective financial management of the UK business by maintaining accurate financial records, supporting day-to-day accounting operations, assisting with financial reporting and analysis, monitoring costs and cash flow, and supporting compliance with applicable UK accounting and tax requirements.

The Finance Specialist will work closely with the Finance team, management, Headquarters, external accountants, and other internal departments to ensure that financial processes are completed accurately, efficiently, and in accordance with Company policies and applicable requirements.

The Employee may be required to perform other duties reasonably commensurate with the role as directed by management.

Key Responsibilities

Financial Data Management & Reporting

  • Maintain accurate and complete financial records and supporting documentation in accordance with Company procedures and applicable accounting requirements.
  • Assist with the preparation and review of financial reports, including profit and loss, balance sheet, cash flow, and other management information.
  • Review and analyse financial data, identify variances or unusual items, and provide relevant information to management.
  • Ensure financial information is recorded accurately and within required reporting deadlines.
  • Support the preparation of regular financial reports and information required by UK management and Headquarters.

Daily Financial Operations

  • Support day-to-day finance operations, including bank reconciliations, cash flow monitoring, expense tracking, and general accounting activities.
  • Process supplier invoices, payment requests, employee expenses, and reimbursement claims in accordance with Company policies and approval procedures.
  • Monitor accounts payable and accounts receivable activities and follow up on outstanding items where required.
  • Maintain accurate records of financial transactions and ensure appropriate supporting documentation is retained.
  • Assist with month-end and year-end closing activities, including reconciliations, journals, accruals, and preparation of supporting schedules.

Tax & Financial Compliance

  • Support the preparation and submission of applicable UK tax and financial returns, including VAT and other relevant reporting requirements.
  • Work with external accountants, tax advisers, and other professional advisers to provide information and supporting documentation as required.
  • Ensure financial activities are carried out in accordance with applicable UK accounting and tax requirements, Company policies, and internal controls.
  • Maintain appropriate records to support the Company's tax, accounting, and compliance obligations.

Budgeting & Cost Control

  • Support the preparation of annual budgets, forecasts, and financial plans.
  • Monitor expenditure against approved budgets and identify significant variances for management review.
  • Assist departments in monitoring operational and project costs and provide relevant financial information to support cost control.
  • Identify opportunities to improve cost efficiency and strengthen financial controls.

Audit & Financial Review

  • Prepare financial records, reports, schedules, and supporting documentation required for internal and external audits.
  • Liaise with auditors and external advisers as required and provide information and clarification within agreed timescales.
  • Assist with the investigation and resolution of audit findings and recommendations.
  • Support the implementation of improvements to financial processes and controls arising from audit or management reviews.

Financial Processes & Internal Controls

  • Support the development, implementation, and continuous improvement of finance processes and procedures.
  • Ensure appropriate financial approval procedures and internal controls are followed.
  • Identify process inefficiencies, control weaknesses, or potential financial risks and raise these with management.
  • Maintain organised and accurate financial records and ensure confidential financial information is handled appropriately.

Cross-Functional & Headquarters Support

  • Work closely with Sales, HR, Procurement, Logistics, Operations, and other departments to support effective financial processes.
  • Provide financial information and support to management in relation to business activities, expenditure, and financial performance.
  • Coordinate with Headquarters Finance teams to support reporting, information requests, and other finance-related requirements.
  • Assist with finance-related projects, system implementation, process improvements, and other initiatives as required.

  • The Employee must demonstrate strong attention to detail, numerical and analytical skills, financial awareness, and the ability to work collaboratively with internal and external stakeholders.
  • The Employee is responsible for maintaining the confidentiality and security of financial and commercially sensitive information and must handle such information in accordance with Company policies and applicable data protection requirements.
  • Management reserves the right to reasonably adjust the Employee's duties, responsibilities, and reporting lines in response to business needs, provided that such changes are reasonably consistent with the scope and level of the role.
