We're Hiring! Fleet Administrator at GBA Logistics

Location: Warrington | Full Time

Salary: £28,500 per annum

The Role

As our new Fleet Administrator, you'll be responsible for the day-to-day coordination of fleet operations to ensure vehicles are utilised effectively, downtime is minimised, and all fleet activities are safe, compliant and cost-efficient. This role plays a key part in supporting operational performance through data-driven decision-making, strong vendor management, and continuous improvement initiatives.

Key Responsibilities for Fleet Administrator:

  • Plan, coordinate, and optimise vehicle allocation and utilisation to maximise fleet efficiency and minimise downtime
  • Manage maintenance planning, downtime, parts availability, and vendor relationships to ensure reliable fleet availability
  • Monitor fuel usage, telematics data, and performance metrics, driving efficiency and continuous improvement initiatives
  • Ensure compliance with safety, regulatory, and company policies, promoting a strong safety-first culture
  • Manage fleet budgets, cost controls, spend reporting, and support financial planning activities
  • Support incident investigations, reporting, and cross-functional collaboration with Compliance, IT, Finance, and operational teams, providing live performance reporting to leadership

About You

We're looking for someone who brings:

  • Minimum 2 years' experience in fleet administration, logistics, operations, engineering, or a related field, with fleet or transport management experience preferred
  • Strong written and verbal communication skills, able to engage effectively with internal teams and external stakeholders
  • Highly analytical, with hands-on experience using fleet management systems, telematics, and Excel
  • Solid knowledge of maintenance planning, procurement, and vendor management
  • Strong commitment to safety, regulatory, and company compliance, actively promoting a safety-first culture
  • Proven ability to manage multiple vehicles, schedules, and records, balancing priorities across operational demands
  • A proactive team player who can work independently, drive continuous improvement, and professionally represent GBA Logistics
