We're looking for a highly organised Fleet & Plant Coordinator to support the day-to-day management of our fleet and plant operations across the business. This is a varied role where you'll play a key part in keeping our vehicles compliant and operational while supporting our teams in the field.

Based at our Head Office in Bathgate, you'll coordinate servicing and maintenance, manage compliance records, support new starter vehicle allocations, and act as a key point of contact for drivers, suppliers, and internal stakeholders.

Key Responsibilities

  • Coordinate fleet and plant servicing, inspections, repairs, and maintenance schedules.
  • Manage vehicle allocations, off-hires, replacements, and new fleet rollouts.
  • Liaise with drivers, suppliers, garages, and internal departments.
  • Maintain fleet records including MOTs, insurance, servicing, and driver documentation.
  • Complete driving licence checks and manage grey fleet compliance.
  • Administer the Motor Insurance Database (MID).
  • Support compliance audits and reporting activities.
  • Coordinate insurance claims, vehicle incidents, fines, and fuel card management.
  • Manage toll and tunnel accounts.
  • Produce fleet and compliance reports for management.
  • Support new starters by arranging vehicles, trackers, livery, and system setup.
  • Maintain fleet management and telematics systems, ensuring data accuracy.

Required Skills & Experience

  • Previous experience in fleet, transport, plant, logistics, or operational coordination.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent attention to detail and a commitment to maintaining compliance.
  • Experience using fleet management systems and Microsoft Office, particularly Excel.
  • Strong communication and stakeholder management skills.
  • Proactive, self-motivated, and able to work independently.
  • Full UK driving licence preferred.
