About Romac Logistics
We are seeking a proactive, customer-focused and highly organised Fleet Supervisor to join the MAGM Asset Solutions Control Tower team.
This is a customer-facing fleet management role responsible for supporting the day-to-day management of commercial vehicle fleets on behalf of MAGM customers. Acting as a key point of contact between our customers, workshops, maintenance providers and other suppliers, you will take full ownership of fleet issues from identification through to resolution.
You will be expected to identify issues proactively, understand their operational and financial impact, coordinate the appropriate response and remain accountable until the matter has been fully resolved. Simply passing an issue to another department or supplier will not be sufficient; you will be responsible for monitoring progress, challenging delays, keeping the customer informed and ensuring all required actions are completed.
The role also includes the accurate identification, administration and recovery of customer recharges. This will involve recognising costs that should be recharged to customers, obtaining and validating supporting information, ensuring the correct approvals are in place, maintaining accurate records and communicating details clearly and professionally.
The role combines excellent customer service with practical fleet management and commercial awareness. You will help ensure vehicles remain compliant, available and operational while reducing downtime, controlling costs and providing customers with a responsive and accountable service.

- Act as a key day-to-day contact for customers, building strong working relationships and providing a high standard of customer service.
- Take complete ownership of customer fleet issues from initial identification through to resolution and closure.
- Proactively identify issues, risks, delays and outstanding actions before they affect the customer wherever possible.
- Remain accountable for progressing issues, even where actions are being completed by workshops, suppliers, customers or other internal teams.
- Manage the day-to-day requirements of customer HGV and trailer fleets.
- Coordinate servicing, MOTs, inspections, defects and repairs with workshops and maintenance providers.
- Monitor vehicle compliance requirements and proactively identify upcoming or overdue activity.
- Manage vehicle-off-road (VOR) cases, challenging suppliers and repair agents to minimise customer downtime.
- Provide customers with clear, timely and proactive updates on vehicle availability, maintenance activity, costs and outstanding issues.
- Liaise with workshops, dealerships, manufacturers and other suppliers on behalf of customers.
- Challenge suppliers professionally where service expectations, repair timescales or agreed standards are not being met.
- Escalate issues appropriately where agreed service levels or repair timescales are at risk, while continuing to manage the issue through to resolution.
- Identify costs that are recoverable from customers in accordance with agreed terms, policies and commercial arrangements.
- Administer customer recharges accurately, including gathering supporting documentation, validating costs, obtaining required approvals and ensuring this is recorded and progressed correctly.
- Communicate customer recharge information clearly, explaining the reason, supporting detail and any relevant next steps.
- Monitor outstanding items and follow them through to completion, ensuring that potential recoverable costs are not missed.
- Maintain accurate information within MAGM's fleet management, Control Tower and financial systems.
- Monitor fleet performance and identify recurring maintenance, downtime, supplier-performance or cost-recovery issues.
- Support accident management, breakdown management and other operational fleet requirements.
- Work closely with colleagues across the Control Tower to ensure customers receive a consistent, responsive and accountable service.
- Contribute to process improvements that strengthen issue, customer communication, compliance and cost recovery.

Skills And Experience
- Strong customer service skills with the confidence to manage professional relationships with external customers.
- A clear sense of ownership and accountability for customer and operational issues.
- Experience identifying issues, coordinating actions and seeing them through to full resolution.
- The ability to remain responsible for an issue even when another team or supplier is carrying out the required work.
- Excellent verbal and written communication skills, including the ability to provide clear updates when dealing with operational problems, delays and costs.
- Strong organisational skills with the ability to manage multiple vehicles, customers, suppliers and priorities simultaneously.
- A proactive approach to problem solving rather than simply escalating or passing issues on.
- Confidence dealing with workshops, dealerships, maintenance providers and other third-party suppliers.
- Good commercial awareness and an understanding of how vehicle downtime, repair costs and unrecovered charges affect a customer's operation and MAGM's business.
- Experience identifying, validating or administering customer charges, invoices or recoverable costs would be advantageous.
- Strong attention to detail when reviewing costs, supporting documentation, approvals and system records.
- The ability to challenge suppliers professionally and constructively when service expectations are not being met.
- Good IT skills, including confidence using Microsoft Excel and fleet, maintenance, customer relationship or financial management systems.
