ABOUT THE ROLE

As an F4F Fleet Support Administrator, you’ll play an important role within our Fleet Support Team, supporting the day-to-day management of customer accounts and ensuring jobs, invoices and queries are handled accurately and efficiently.

Reporting to the F4F Fleet Support Team Leader, you’ll take ownership of assigned customers, building your knowledge of their rates, policies and processes while making sure jobs are progressed and closed down effectively.

This is a varied, fast-paced role where you’ll work across internal systems and platforms, communicate with customers, suppliers and colleagues, and help resolve queries in a timely manner. You’ll also work as part of the wider team, supporting other fleets when required.

KEY RESPONSIBILITIES

  • Manage a Network inbox and respond to telephone calls and emails.
  • Review customer ledgers using internal systems.
  • Process sales invoices accurately, on time and in full.
  • Compile and distribute customer and supplier invoices in line with company procedures.
  • Take ownership of assigned customers by processing jobs, gaining purchase order numbers and developing a full understanding of relevant rates, policies and processes.
  • Proactively chase documentation and ensure jobs are closed down in the system.
  • Use platforms including Fleetbridge, One Link and Adflex to process jobs and payments.
  • Track and organise data effectively.
  • Communicate and build strong relationships with suppliers, call centre colleagues and customers.
  • Resolve or escalate queries in a timely manner.
  • Efficiently cover and assist on other fleets as required.
  • Work effectively both as part of a team and independently.

ABOUT YOU

We’re looking for someone who is organised, proactive and comfortable working in a fast-paced environment. You’ll have strong attention to detail and the ability to manage multiple tasks while working to deadlines.

You’ll ideally have:

  • An understanding of Microsoft Excel and experience using web-based portals.
  • Strong attention to detail.
  • The ability to complete work within deadlines.
  • A willingness and enthusiasm to learn.
  • Strong verbal and written communication skills.
  • The ability to multitask and stay organised.
  • A team-player mindset, with the ability to work independently.
  • Experience working with computers and office programmes.
  • Persistence and determination when following up tasks and resolving issues.
  • A flexible approach to handling ad-hoc challenges.
  • Good problem-solving skills.
