Position Summary
A busy corporate flight department is seeking a Flight Operations Assistant that will be based at the Company's Hanscom Airport (BED) location in Bedford, MA. The Flight Operations Assistant will report directly to the Manager of Flight Operations and will work closely with the Flight Operations Coordinator and Company executives.
Duties
- Schedule Company aircraft to support travel for executives
- Coordinate changes in the itinerary or passenger manifest
- Confirm ground transportation for each flight
- Confirm and manage catering orders if requested
- Ensure that passengers have current passports and visas required for international travel
- Confirm crew availability
- Provide ongoing liaison with executive assistants regarding jet availability and flight activity
- Flight-follow aircraft during normal business hours
- Formulate contingency plans for mechanical and weather delays
- Participate in all flight scheduling meetings
- Report on potential scheduling conflicts to the Manager of Flight Operations
- Provide on-call (remote) scheduling support when assigned during non-business hours, weekends, and holidays
- Request quotes for charter aircraft if Company aircraft are all in use
- Manage charter trips once booked
- Generate flight reports
- Assist in reviewing monthly billing for trip and aircraft expenses
- Assist in coding each flight to the correct billing entity
- Maintain and update the Aircraft Emergency Response Plan
- Perform administrative duties for other departments if needed

Qualifications / Requirements
- Detail-oriented, with the ability to function well under pressure
- Fast response times to last-minute jet requests and trip changes are required
- Strong ability to multitask
- Capacity to adapt to a challenging, fast-moving environment with changing priorities
- Ability to communicate effectively
- Experience with aircraft scheduling/dispatch/charter operations preferred
- Proficiency in Microsoft Office Suite required
For Massachusetts: The base salary range for this position is $60,000 - $80,000. The base salary range represents the estimated low and high end for this position at the time of this posting. Consistent with applicable law, compensation may vary and will be determined based on but not limited to, the skills, qualifications, and experience of the applicant along with the requirements of the position, and Audax reserves the right to modify this pay range at any time. An employee may also be eligible for annual discretionary incentive compensation based on performance.
