Role Type: Contract - 12 months

Work Setup: Hybrid - 4 days in the office

Who You Will Work With

Our client is a global financial services firm that manages wealth, navigates complex markets, and designs strategic financial objectives. The firm provides risk management solutions across a variety of sectors, emphasising long-term relationships, and innovative approaches to financial challenges.

What You'll Do

Secretarial/Administrative Support:

  • Built and maintained strong relationships with internal stakeholders and external clients across domestic and international teams through extensive verbal and written communication, ensuring seamless collaboration across business units.

Diary Management:

  • Manage complex diaries with exclusive control, acting as a gatekeeper to ensure schedules run smoothly.
  • Coordinate meetings, video conferences, and calls, ensuring all details (venues, dial-in information) are confirmed and conflicts resolved proactively.

Travel & Expenses:

  • Organise travel arrangements, including flights, hotels, visas, currency exchange, and ground transportation using firm-approved tools.
  • Prepare detailed agendas and itineraries for business trips while processing monthly expenses efficiently via systems like Concur.

Absence Cover (Buddy System):

  • Work collaboratively with the buddy group to provide consistent coverage during lunch breaks, holidays, or absences within the team.
  • Maintain up-to-date handover notes and provide phone coverage/support to Bankers outside your designated team when required.

What You Bring

  • Proven experience as an Executive Assistant in a high-pressure environment (Investment Banking experience preferred).
  • Strong organisational and time management skills with the ability to handle last-minute changes.
  • Confident communicator who can liaise effectively with clients and colleagues at all levels.
  • Proactive problem-solver with a "can-do" attitude and attention to detail.
  • Proficient in Microsoft Office (especially Outlook), Concur, CRM systems, and Zoom.
