The Role
The FM Assistant supports the safe, secure, compliant and high-quality delivery of print, reprographics and mailroom services. Working under the direction of the Print, Mailroom & Reprographics Services Manager, the role undertakes daily operational activities, maintains accurate records and provides a professional service to colleagues and stakeholders.
The postholder will handle documents, mail, equipment and service information with care and confidentiality; complete defined quality checks; use Microsoft 365 and relevant FM or service systems accurately; and escalate risks, errors, equipment faults or service delays promptly.
The role contributes to business continuity, cost control, brand compliance, customer satisfaction, and continuous improvement, while operating within agreed procedures, service levels, safety requirements, and delegated authority.
This role can only be done from the Print Management Centre, there is no option to work from home, as all equipment is on stand alone networks and can only be operated within the centre.
You Will
- Deliver a high-quality print, reprographics and mailroom service, managing printing, copying, scanning, binding, post, courier and distribution requests accurately and within agreed service levels.
- Operate print and mailroom equipment safely and efficiently, carrying out routine checks, fault reporting, stock replenishment and general housekeeping to maintain service continuity.
- Ensure all work meets quality, brand and customer requirements through robust quality control checks, version control, proof-reading and adherence to approved templates and guidelines.
- Protect sensitive and confidential information by following information security, data protection, secure handling, storage, distribution and disposal procedures at all times.
- Provide excellent customer service, building strong relationships with colleagues, customers, suppliers and couriers while managing enquiries, expectations, priorities and service issues professionally.
- Maintain accurate records, system updates, stock controls, recharging information and compliance documentation, while supporting continuous improvement, safety standards and business continuity activities.

You Have
- Previous experience in customer service, administration, mailroom, print, reprographics or document services environments, with transferable operational skills and a customer-focused approach.
- Competent in Microsoft 365 applications, including Outlook, Teams, Word, Excel and SharePoint, with the ability to quickly learn new systems and processes.
- Strong attention to detail, with excellent literacy, numeracy and proof-reading skills to ensure accuracy and quality standards are maintained.
- Able to follow structured processes, maintain accurate records and handle confidential and sensitive information with discretion.
- Excellent communication and organisational skills, with the ability to manage competing priorities, meet deadlines and build effective relationships with stakeholders, colleagues and suppliers.
- Experience or awareness of print and mailroom operations, stock control, quality checking, GDPR and information security requirements; a full UK driving licence is advantageous where travel is required.
