Foundation Operations & Administration Manager
Reporting Line: Exec Chair – Apex Foundation & Wealth.
Location: London
Salary: up to £70,000 + Discretionary driven bonus based on Foundation and wider company objectives.
The Opportunity and Strategic Impact
We are looking for an experienced, relationship-driven person with high energy to shape something new and meaningful. This is not a standard corporate job; it is an evolving canvas to help build a world-class philanthropic platform from the ground up. At this early stage of its development, the Foundation offers a hands-on and entrepreneurial environment. The successful candidate will be equally comfortable supporting operational priorities (day-to-day administration) while helping shape longer-term strategic objectives.
As the Foundation Operations & Administration Manager, you will play a central role in supporting the growth of the Apex Foundation. While donor engagement and fundraising activity form an important part of the role, you will also be responsible for building and maintaining the inter-company operational and administrative foundations that enable the charity to scale effectively and deliver lasting impact.

This role is central to the next chapter. By strengthening and facilitating the administration and operational processes, coordinating key initiatives, supporting donor relationships and helping grow Foundation income, you will play a key part in turning that ambition into reality and shaping how Apex contributes to the communities it works in.

Responsibilities
In this varied and fast-paced role, you will lead and coordinate a blend of Foundation operations, administration, stakeholder engagement, fundraising activity and events that help maximise the Foundation's impact.
- Foundation Operations & Administration: Lead the day-to-day administration of the Foundation, ensuring that diary management (all foundation activities and personal), governance, records, reporting, communications and operational processes are maintained to a consistently high standard.
- Delivering our Flagship London Gala: Support the Chair in planning, delivering and growing our annual gala dinner, including event coordination, attendee management, sponsorship administration and post-event follow-up activities.
- Build the Relationship Engine: Map and consolidate information on past contributors, table buyers and warm leads into a clear, well-organised donor management system. Ensure stakeholder information, communications and relationship activity are accurately maintained and easily accessible.
- Championing the Foundation: Act as a visible advocate for the Foundation's mission internally to build engagement and alignment with leadership's vision, and externally to help raise awareness of the Foundation and its work.
- Drive Revenue & Fundraising Support: Support initiatives to increase Foundation revenue and donor participation. Work closely with the Executive Chair to help coordinate donor engagement activities, sponsorship opportunities and fundraising campaigns.
- Capture Every Opportunity: Build and maintain the administrative backbone of the Foundation so that donor relationships, sponsorships, fundraising activities, projects and key actions are effectively managed and followed through.
- Reporting & Coordination: Prepare updates, presentations and reports for leadership while tracking Foundation activities, actions and outcomes to ensure priorities remain on schedule.

Experience & Skills
We believe the right person for this role will be driven by purpose, highly organised and skilled at building lasting relationships while helping create the structure and processes needed for a growing Foundation.
For this role, we are looking for a person who brings:
- Some knowledge and interest in Social Impact: Perhaps a background in corporate fundraising, donor engagement, business development, partnership management, or stakeholder relationship roles.
- Administration & Operational Excellence: Strong organisational and administrative skills, with experience managing multiple activities, stakeholders and activities relating to the foundation and chair simultaneously. Prior involvement within a CSR team would be valuable.
- Organised and Tech Savvy: Experience working with CRM systems, databases or tracking tools, with the ability to build and maintain effective administrative processes and reporting.
- Strong Relationship Building: A confident, clear communicator able to work directly with external corporate donors, VIPs and senior internal and external executives.
- Attention to Detail: A structured and proactive approach with a focus on follow-through, accountability and maintaining accurate information and records.
