Location: Remote (UK-based)
Hours: 15 hours per week, flexible
Type: Volunteer Internship
Duration: 6 months, with the possibility of extension by mutual agreement.

About the Independent Federation for Safeguarding

The Independent Federation for Safeguarding (IfS) is committed to strengthening safeguarding practice, promoting professional standards, supporting organisations and practitioners, and contributing to safer communities.

We are seeking an enthusiastic, proactive, and highly organised Founder’s Associate Intern (Volunteer) to work closely with the Founder / Chief Executive Officer and senior leadership team across a range of strategic, operational, and digital activities.

This is an exciting opportunity for someone who wants to gain hands-on experience working within a developing organisation and who is interested in safeguarding, organisational development, digital transformation, artificial intelligence, data protection, governance, and social impact.

The successful candidate will work across multiple areas of the organisation and will have the opportunity to contribute ideas, improve systems and processes, and support the continued development and growth of IfS.

Job Purpose

The Founder’s Associate Intern will provide strategic, operational, and digital support to the Founder / Chief Executive Officer and wider leadership team.

A key part of the role will be supporting the management and development of the IfS website and members portal, ensuring that both platforms remain secure, compliant, accessible, user-friendly, and responsive to the needs of members and stakeholders.

The post holder will also contribute to organisational projects, AI-enabled systems, and data protection. The role is particularly suited to an individual who is comfortable working independently, able to manage competing priorities, and motivated to support the growth of a membership organisation.

Key Responsibilities

Founder and Executive Support

  • Provide proactive support to the Founder / Chief Executive Officer and, where relevant, the senior leadership team.
  • Assist with strategic and operational projects across the organisation.
  • Undertake research, analysis, and information gathering to support organisational decision-making.
  • Prepare briefing notes, reports, presentations, meeting materials, and other documents as required.
  • Support the coordination and delivery of organisational priorities and projects.
  • Track agreed actions, deadlines, and deliverables.
  • Identify opportunities to improve organisational effectiveness and contribute practical solutions.
  • Support the development of new initiatives, partnerships, services, and organisational opportunities.
  • Attend meetings and contribute to discussions where appropriate.
  • Handle confidential information professionally and appropriately.

Website Management and Development

  • Maintain and update website content, ensuring information is accurate, current, relevant, and accessible.
  • Monitor website functionality, performance, accessibility, and user experience.
  • Support the management of website hosting, domain settings, and associated digital services.
  • Implement or coordinate website improvements and enhancements.
  • Identify opportunities to improve the website's functionality, content, and user journey.
  • Maintain appropriate website security measures and support regular security reviews.
  • Monitor website issues and coordinate with external suppliers or specialist service providers where required.
  • Support the development of new website features, resources, and functionality.
  • Maintain appropriate documentation relating to website administration and processes.

Members Portal Administration

  • Manage member accounts, permissions, and access controls.
  • Support the onboarding of new members and respond to portal access queries.
  • Monitor portal functionality, accessibility, and user experience.
  • Maintain member resources, training materials, guidance, and communications.
  • Support the development of the members portal as a valuable resource for IfS members.
  • Maintain the member dashboard and relevant digital resources.
  • Produce reports and analyse information relating to portal usage, member engagement, and activity.
  • Identify opportunities to improve member engagement through digital tools and communications.
  • Support the implementation and testing of new portal features.

AI, Digital Transformation, and Automation

  • Support the ongoing development and implementation of AI-enabled systems and processes.
  • Research emerging AI tools and technologies relevant to IfS.
  • Identify opportunities to use AI and automation to improve organisational efficiency, productivity, and service delivery.
  • Assist with testing, evaluating, and implementing new digital tools and functionality.
  • Support the development of automated workflows and administrative processes.
  • Help ensure that AI-enabled systems are used responsibly, securely, and in accordance with relevant policies and legislation.
  • Maintain appropriate documentation, procedures, and user guidance for digital and AI-enabled systems.
  • Support colleagues in adopting new technologies and processes where appropriate.

Data Protection, Information Governance, and Cyber Security

  • Support compliance with UK GDPR, the Data Protection Act 2018, and other relevant data protection requirements.
  • Support the secure handling, storage, and sharing of personal and organisational information.
  • Assist with maintaining appropriate information security safeguards and controls.
  • Support regular reviews of digital systems, permissions, and access controls.
  • Monitor and report potential data security concerns, vulnerabilities, or incidents.
  • Escalate suspected or actual data breaches promptly to the appropriate senior personnel.
  • Ensure the CEO, Senior Leadership Team, and Board of Trustees are made aware of significant data breach risks and actual data breaches in accordance with organisational procedures.
  • Support with the development and implementation of plans to mitigate data breach and cyber-security risks.
  • Assist with maintaining appropriate records, policies, procedures, and guidance relating to data protection and information security.
  • Promote good information security and data protection practices across the organisation.
  • Support compliance with organisational policies relating to information governance and cyber security.

Accessibility and Digital Compliance

  • Support compliance with relevant website accessibility standards and good practice.
  • Identify accessibility barriers affecting members, stakeholders, and website users.
  • Assist with improving the accessibility and usability of digital content.
  • Ensure digital resources are presented in a clear, inclusive, and user-friendly manner.
  • Support the review and improvement of digital content, documents, and online resources.

Research and Organisational Development

  • Undertake research on safeguarding, regulation, policy, technology, AI, governance, and related areas.
  • Monitor relevant developments that may affect IfS, its members, or stakeholders.
  • Support the preparation of research summaries, briefing papers, and reports.
  • Identify emerging opportunities, risks, and trends relevant to the organisation.
  • Contribute to the development and continuous improvement of IfS systems, services, and processes.
  • Support organisational projects and initiatives from conception through to implementation.

Member and Stakeholder Engagement

  • Provide first-line support for website and members portal users.
  • Respond professionally and promptly to queries from members, colleagues, and stakeholders relating to digital systems.
  • Support member communications and engagement activities.
  • Help identify and respond to member needs and feedback.
  • Work collaboratively with colleagues, members, suppliers, and other stakeholders.
  • Represent IfS professionally and uphold the organisation's values in all interactions.

General Responsibilities

  • Contribute to the continuous improvement of organisational systems, processes, and services.
  • Maintain accurate records and appropriate documentation.
  • Work collaboratively while demonstrating initiative and the ability to work independently.
  • Manage workload effectively and meet agreed deadlines.
