Are you a fluent French or Italian speaker with Office Management and Executive Assistant experience? Do you enjoy being the person who keeps everything running smoothly whilst supporting senior stakeholders at the highest level?

We are partnering with a prestigious boutique financial services firm based in Mayfair to recruit a French or Italian Speaking Office Manager & Executive PA. This is a rare opportunity to join a highly successful, close-knit business and work directly with one of the firm's Founders whilst taking ownership of the day-to-day operations of the London office.

This position combines traditional Executive Assistant responsibilities with Office Management, Facilities, HR Administration and IT coordination, making it an ideal opportunity for someone who enjoys variety and thrives in a hands-on environment.

The role:

Supporting the Founder and overseeing the smooth running of the office, responsibilities will include:

  • Complex diary and calendar management
  • Coordinating international travel and detailed itineraries
  • Liaising with household staff and external service providers
  • Acting as a key point of contact between the Founder and the wider business
  • Managing office operations and facilities
  • Inventory and office supplies management
  • Health & Safety administration
  • Employee onboarding and offboarding
  • Coordinating annual intern programmes
  • Expense administration
  • Supporting office projects and process improvements
  • Acting as the first point of contact for internal IT issues
  • Liaising with outsourced IT support providers
  • Managing IT equipment and inventory

About you:

You will be a proactive and professional individual who enjoys taking ownership and working independently.

We are looking for:

  • Fluent French or Italian and English language skills
  • Previous Office Manager experience
  • Previous EA, PA or Executive Support experience
  • Strong organisational and time-management skills
  • Excellent communication and stakeholder management abilities
  • IT coordination or IT support experience
  • High attention to detail
  • Ability to remain calm under pressure
  • A proactive and solutions-focused mindset
  • Confidence working with senior executives and high-profile stakeholders
