Front Desk & Team Assistant

About the company and the role

Along with our Front Office Coordinator, you will be the first point of contact at the front desk of a prestigious boutique insurance broking firm, specialising in marine insurance business, with a network of offices operating in many main maritime hubs around the world, headquartered in Italy.

The business is fast growing, multicultural and fast-paced.

This is a role where you can expect to juggle a variety of responsibilities that require excellent multitasking and organisational skills, team working, flexibility and adaptability.

Key tasks

Include but not limited to:

Reception & Office Support

  • Support with reception duties, including welcoming visitors, answering calls & managing incoming deliveries & post, checking people in & issuing visitors QR codes
  • Support the day-to-day running of the office
  • Monitor office supplies, stationary, kitchen supplies & general consumables, ensuring stock levels are maintained & items are replenished as required
  • Ensure meeting rooms, communal areas & office spaces are kept organised, tidy & presentable at all times
  • Work closely with the Front Office Coordinator on a wide range of tasks including the organisation of meetings, team events & other office activities
  • Assist with general administrative tasks

Team Support

  • Team PA (especially for the Broking division): helping with organising events, various bookings (including but not limited to taxis, hotels, restaurants etc) and travel arrangements, assisting with expense management, expense claims reconciliation & submission via our platform (SAP Concur)
  • Providing support (both business and personal) to our top Executive Director
  • Assist with ad hoc team business requests and provide general support to employees as required

Candidate profile

  • Desired knowledge of Italian language
  • Desired knowledge of any other language is an asset
  • Impeccable professional appearance
  • Good attention to detail
  • Ability to perform tasks in an accurate & timely manner
  • Previous experience within a client/customer facing role (e.g. Front-of-House or Reception) as well as administrative support gaining valuable insights into office operations
  • Effective interpersonal skills, flexibility, tact & discretion
