Front of House Administrator

Location: Ebbw Vale Campus

We are looking for a Front of House Administrator to be the face of our Ebbw Vale Campus, ensuring every visitor, customer, and colleague enjoys a positive and seamless experience from arrival to departure.

This is a varied and rewarding role that combines front-of-house excellence, event coordination, administration, and facilities support, making you a key part of the local team and the overall customer experience.

About the Role

As our Front of House Administrator, you will be the first point of contact for visitors and customers, providing a warm welcome while ensuring all site procedures, including health and safety requirements, are followed.

You will play a vital role in coordinating customer visits, supporting meetings and events, maintaining presentation areas and information displays, and acting as the central contact for facilities-related matters across the site.

What You'll Be Doing

  • Providing a professional and friendly front-of-house service for visitors, customers, and colleagues.
  • Managing visitor arrivals, registrations, and safety briefings.
  • Coordinating customer visits and ensuring all visit requirements are communicated and delivered effectively.
  • Supporting the organisation and administration of key meetings and special events.
  • Ensuring meeting rooms, presentation equipment, and materials are prepared and ready for use.
  • Liaising with internal teams and external contractors to arrange refreshments and other event requirements.
  • Maintaining Front of House processes and procedures, ensuring they remain accurate and up to date.
  • Gathering visitor feedback and supporting continuous improvement initiatives.
  • Producing monthly reports covering visitor numbers, customer feedback, and service improvements.
  • Acting as the central point of contact for facilities-related issues and monitoring progress with facilities management providers.
  • Building strong working relationships with stakeholders across multiple business functions.

Essential Skills

  • Excellent interpersonal and customer service skills.

  • Confident user of Microsoft Office applications.
  • Strong written and verbal communication skills.
  • Ability to work independently and use initiative.
  • A proactive and adaptable approach to supporting stakeholders.
  • Strong attention to detail and a commitment to delivering high standards.

Essential Experience

  • Previous experience in a Front of House, Reception, Hospitality, or Customer Service environment.
  • Experience engaging with customers and stakeholders.
  • Demonstrable experience using Microsoft Office applications.

Security Clearance

This role will require SC Clearance. It would be advantageous if currently held, however, if not currently held, it is a requirement that the successful applicant will undergo, achieve, and maintain SC Clearance. Please visit the UKSV website for further guidance.

To be eligible for full SC, you generally need to have resided in the UK for the last 5 years. In some circumstances, a minimum of 3 years’ residence in the UK over the last 5 years may be accepted, with additional overseas checks.
