Location: London
Hours: The First Impressions team work on a rota basis to ensure the hours of 08:00 to 19:00 are covered. The rota is based on a 35-hour working week
Contract: Six month fixed term contract
We are seeking a proactive and highly organised First Impressions Assistant to join us on a six month fixed term contract who will be responsible for the day to day running of a professional and effective front of house and hospitality service to internal and external clients and visitors of the firm.
You will often be the first point of contact and will provide excellent customer service to those working in and visiting the Kingsley Napley offices. The First Impressions team are clear, professional and engaging in their approach; proactively working together as a team and demonstrating excellent attention to detail in their work.
Key responsibilities
- Meeting and greeting visitors in a polite and professional manner, monitoring the waiting times and ensuring that refreshments are arranged
- Transferring appropriate calls, messages, and queries, ensuring that all calls and emails are responded to professionally and efficiently
- Monitoring a busy centralised First Impressions Team inbox and switchboard
- Arranging meeting room bookings, ensuring that room booking processes are adhered to and that rooms are equipped in accordance with specified requirements
- Booking and arranging travel

You will be organised, detail-focused and calm under pressure, with a positive, “can-do” attitude and a strong commitment to teamwork and client service.
You will have:
- Excellent customer service and client facing experience in a corporate hospitality or professional services environment
- Administration and organisational skills
- Experience of working within a very busy, deadline-driven, environment
- Excellent attention to detail and problem-solving skills
- Ability to work independently and as a team, taking the initiative
