Front of House and Technology Lead
London
Up to £45,000
While overall line management falls under the Office Services Manager, this person will carry lead responsibility for day-to-day standards, and coordination of front of house activity. This includes allocating daily tasks, challenging standards where required, resolving room conflicts, reprioritising bookings and making informed judgement calls independently, escalating issues before they become operational problems.
Key Responsibilities
- Oversee all front of house operations, ensuring a consistently professional, welcoming, and well managed environment
- Meet and greet all visitors, announce arrivals to partners or hosts, and escort clients to meeting rooms
- Offer refreshments including use of the client coffee machine, ensuring a polished client experience
- Maintain presentation and organisation of reception, meeting rooms, and associated areas
- Act as the primary point of contact for all meeting room technology
- Set up and support Video Conference (predominantly Microsoft Teams) meetings
- Prepare meeting rooms in advance, ensuring screens, cameras, microphones, and presentations are fully tested
- Troubleshoot audio visual and connectivity issues confidently and calmly
- Support fee earners and clients with laptop and device connectivity, including wireless content sharing
- Liaise with IT for complex technical issues or equipment maintenance
- Manage the meeting room booking system (GoBright), ensuring bookings are accurate and optimised
- Proactively manage conflicts and release unutilised rooms
- Run regular meeting room utilisation reports to support facilities and space planning decisions
- Produce basic Microsoft Excel reports and summaries for management
- Capture and report data where appropriate, including client refreshment usage, to support operational planning
- Arrange and manage business travel for fee earners, including train, hotel, flight, and taxi bookings, ensuring cost effectiveness and adherence to firm policies.
- Act as the main point of contact for the firm’s florist, managing regular requirements and ad hoc requests.
- Manage relationships with taxi and courier providers, including booking, service quality, and day to day coordination.
- Ensure all meeting rooms are correctly set up with required equipment, stationery, and catering
- Ensure rooms are cleared down promptly after meetings
- Monitor standards across client facing areas and address issues proactively
- Assist with client and marketing events, including occasional out of hours support
