Front of House Receptionist
Fixed-Term Contract until 31 October 2027
Location: London (full-time office-based role)
Salary: £29,640 per annum
Hours: Monday to Friday, 08:30 to 17:30 (40 hours per week)
Start Date: 2nd November 2026
Reporting to: Operations Manager
Our client is looking for a professional, personable, and highly organised Front of House Receptionist to join their team. Acting as the face and voice of the business, you will be responsible for delivering a warm and professional experience for visitors, clients, contractors, and employees, while ensuring the office operates smoothly and efficiently on a day-to-day basis.
This is a varied and hands-on role that combines reception duties, office administration, facilities coordination, and hospitality support. You will play a key role in maintaining a welcoming, professional, and well-presented workplace while supporting colleagues across the business.
You will work closely with the Operations Manager and act as a central point of contact for visitors, suppliers, contractors, and employees, helping to create a positive workplace experience for everyone who enters our office.
Key Responsibilities
Reception and Visitor Management
- Greet visitors and clients, ensuring they receive a professional and welcoming experience.
- Manage visitor sign-in procedures and records.
- Answer and direct incoming telephone calls, emails, and enquiries.
- Monitor shared inboxes and ensure enquiries are responded to or redirected promptly.
- Manage and maintain staff and visitor access passes, keys, and fobs.
- Ensure reception areas remain tidy, presentable, and welcoming at all times.

Office Administration
- Provide general administrative support including filing, scanning, photocopying, document preparation, and data entry.
- Manage meeting room bookings and coordinate room availability.
- Arrange travel, accommodation, and transport bookings when required.
- Maintain staff contact lists, emergency contact information, and office records.
- Support onboarding and offboarding processes, including issuing and collecting passes, keys, and equipment.
- Assist with supplier administration, purchase orders, and invoice coding.
Post, Deliveries, and Office Coordination
- Receive, log, and distribute incoming post, parcels, and courier deliveries.
- Prepare and dispatch outgoing post and courier collections.
- Manage the secure handling of confidential or valuable deliveries.
- Track expected deliveries and follow up where necessary.
- Order and maintain office supplies, stationery, and refreshments.
- Monitor stock levels and ensure essential supplies are always available.
Facilities and Workplace Support
- Coordinate refreshments and catering for meetings, events, and visitors.
- Ensure kitchens, breakout areas, and communal spaces remain clean, tidy, and well stocked.
- Conduct regular office walk-rounds to monitor presentation, cleanliness, and safety standards.
- Liaise with landlords, contractors, maintenance providers, and cleaning teams.
- Log and follow up maintenance issues through to resolution.
- Support office moves, workspace changes, and facilities projects as required.

Health and Safety
- Assist with maintaining a safe and compliant office environment.
- Support emergency procedures and fire evacuations, including managing visitor roll calls.
- Complete workplace checks and maintain health and safety records.
- Report accidents, hazards, and near misses in accordance with company procedures.
- Undertake Fire Warden and/or First Aid responsibilities if required (training provided).
Events and Hospitality
- Support the planning and delivery of client meetings, training sessions, and office events.
- Coordinate catering requirements, deliveries, and hospitality arrangements.
- Ensure meeting rooms and event spaces are prepared, hosted, and cleared effectively.
Skills & Experience
Essential
- Previous experience in a reception, front-of-house, hospitality, or office administration role.
- Excellent verbal and written communication skills.
- Professional and confident telephone manner.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple tasks and prioritise effectively.
- Proficient in Microsoft 365, including Outlook, Word, Excel, and Teams.
- Experience liaising with visitors, suppliers, and contractors.
- Ability to remain calm, professional, and approachable in a busy environment.
Desirable
- Experience working within a creative or production environment.
- Experience using visitor management or meeting room booking systems.
- Basic understanding of workplace health and safety requirements.
- First Aid, Fire Warden, IOSH, or similar workplace safety training.
