About the Role
We are seeking a highly organised, proactive and energetic Coordinator, Front of House & Workplace Experience to become the face of our London office and the first impression of our business.
This is not a traditional reception role.
This position sits at the centre of a fast-paced, high-performing environment where priorities can change quickly throughout the day. Success in this role requires strong judgement, the ability to think on your feet, and a natural instinct for prioritising urgent requests while maintaining exceptional service standards.
You will act as a key point of contact for employees, visitors, clients and senior stakeholders, ensuring the office runs smoothly and efficiently while delivering a first-class workplace experience.
The ideal candidate will be highly responsive, solutions-oriented, and comfortable making sensible decisions independently. They will enjoy operating in a dynamic environment where no two days are the same and where speed, adaptability and ownership are essential.
Key Responsibilities
- Own and manage the Front of House experience, ensuring a professional, welcoming and efficient environment for all visitors and employees.
- Act as the first point of contact for visitors, clients, candidates and stakeholders entering the office.
- Manage visitor registration, access procedures and workplace systems.
- Monitor and manage workplace Slack channels, ensuring requests and enquiries are responded to promptly and routed appropriately.
- Manage the office inbox and ensure timely responses to workplace-related enquiries.
- Coordinate meeting rooms, workplace bookings and last-minute scheduling requests.
- Support the planning, coordination and delivery of internal meetings, leadership events, company gatherings and workplace initiatives.
- Maintain strong communication with facilities teams, building management, security, suppliers and service providers.
- Resolve workplace issues efficiently and escalate where appropriate.
- Support onboarding activities and help create an outstanding first-day experience for new employees.
- Manage office supplies, deliveries, couriers and general workplace administration.
- Maintain accurate workplace documentation, procedures and records.
- Continuously identify opportunities to improve workplace operations and employee experience.

Requirements
- Previous experience in Front of House, Workplace Experience, Reception, Office Operations or a similar customer-facing environment.
- Experience operating effectively in a busy, fast-paced workplace.
- Strong organisational and administrative skills.
- Experience managing multiple priorities and responding to urgent requests in real time.
- Ideally experience using Google Workspace.
- Ideally experience using Slack or similar workplace communication platforms.
- Excellent attention to detail and customer service skills.
Success in This Role
The successful candidate will be someone who can confidently navigate situations where multiple priorities arise simultaneously.
For example, while welcoming a visitor, they may also be responding to an urgent Slack request from a senior stakeholder, coordinating a last-minute meeting room change, and supporting preparations for an internal event.
They will be able to quickly assess competing priorities, determine what requires immediate action, and ensure the highest-impact activities are addressed first.
This role is best suited to someone who thrives in a fast-paced environment, enjoys solving problems in real time, and takes pride in being the person others can rely on when things need to happen quickly and efficiently.
