YOUR NEXT CHALLENGE

This role is a part-time / job-share position with another person. Below are the proposed working hours. Please note this is a fully office-based role:

  • Wednesday (12.45 pm Handover (This includes a 45 minute weekly handover from FOH 1 – 18:45pm), Thursday & Friday (08.00am – 18:45pm).

HOW YOU WILL MAKE AN IMPACT

Receptionist / Front of House

  • Meeting and greeting staff, clients, and all other visitors, aiming for a five-star welcome.
  • Managing reception and front of house, ensuring a tidy and presentable entrance.
  • Helping maintain our welcoming and positive culture, radiating Medialab’s values from the moment people enter the building.
  • Offering and providing refreshments for meetings, organising internal team lunches, and catering for in-house meetings.
  • Managing incoming phone calls in a friendly and professional manner (screening, taking messages, etc.).
  • Sorting, distributing post, dealing with deliveries, and booking couriers when needed.
  • Handling office security, including opening & locking up each day across 4 floors.

Office Management & Support

  • Managing meeting rooms (diary invites, schedule changes) and being on hand for staff needing last-minute rooms or updates.
  • Organising internal catering: weekly online office supplies/fruit shop, training/company meeting food orders, and drinks fridges filled for weekly socials.
  • Managing stock and ordering stationery, office supplies (inc. refreshments, homeware), and company-branded merchandise (e.g., mugs, notebooks).
  • Managing employee joiners & leavers by allocating new passes/locker keys and ensuring returns are logged.
  • General office upkeep to ensure everything is always presentable and tidy across the four floors (meeting rooms, kitchen areas, printer paper, storage areas).
  • Maintenance on employee desk booking tracker, Kadence.
  • Updating company noticeboards, posters, and blackboards with weekly team updates.
  • Providing general ad-hoc admin support for Operations, HR, and teams across the business as needed (arranging internal events, sending gifts, etc.).
  • Experience arranging handymen/tradespeople for office fixes and supporting fire drills.

WHAT YOU BRING TO THE TEAM

  • Front of House & Reception Management: Ability to manage reception, greet visitors professionally, handle phone calls, and maintain a tidy, welcoming entrance.
  • Office Operations & Upkeep: Hands-on experience keeping facilities, meeting rooms, and kitchens presentable, stocked, and running smoothly.
  • Administrative & Scheduling Skills: Competency in managing meeting room diaries, tracking desk bookings, and handling inventory/ordering.
  • Reliability & Security Ownership: Dependability to manage daily opening and locking up procedures across 3 floors.

MUST HAVE SKILLS

  • Experience managing calendars and meeting rooms.
  • Experience working with clients / front desk.
  • Friendly, warm, and positive attitude.
  • A strong "can-do" attitude.

NICE TO HAVE SKILLS

  • Basic Tech & IT Coordination: Ability to assist with meeting room tech support and liaise with external IT support teams (Conosco) to resolve screen or meeting room issues.
