Role Description

The Front Office Assistant will provide professional reception and administrative support at SCUBE’s on-site office in the London Area, United Kingdom. This contract role includes greeting visitors, managing incoming calls, and ensuring a welcoming and organized front desk environment. Daily responsibilities involve appointment scheduling, maintaining calendars, coordinating meeting rooms, and handling routine clerical tasks such as filing, data entry, and document preparation. The Front Office Assistant will support internal teams with administrative assistance, help manage office supplies and mail, and ensure that front office processes follow company policies and standards. The role requires consistent, in-person collaboration with colleagues and stakeholders.

Responsibilities

  • Front desk reception (answering phones, greeting visitors, handling deliveries)
  • Scheduling and preparing conference rooms in a professional setting
  • Stock and maintain inventory of office, printer, and meeting room equipment/supplies
  • Stock and maintain inventory of kitchen and pantry supplies
  • Maintain meeting room facilities
  • Set up/breakdown meetings and events
  • Log visitor requests
  • Assist with catering requests
  • Assist with office events and service initiatives
  • Reset and stock team rooms, phone rooms, and conference rooms
  • Assist with copying projects, as requested
  • Distribute mail and packages
  • Ability to lift 50 pounds

Qualifications

  • A-level completion required; post-secondary education or Bachelor’s degree preferred
  • At least 1-3 years of relevant work experience as an Administrative/Executive Assistant, preferably in a professional services environment
  • Computer fluency with MS Office (Word, PowerPoint, Excel, and Outlook), SAP, and Concur desirable
  • Strong oral and written communication skills
  • Professional appearance and demeanor with ability to exercise good judgment and discretion
  • Attention to detail, dependability/punctuality
  • Proactive self-starter with ability to manage a wide variety of tasks and meet deadlines
  • Experience working both independently and with a team in a demanding environment
