Job Title: Office Manager & Front of House

Reporting to: Abbie Walsh – Head Executive Assistant & HR Lead

Location: City of London

Contract Type: Full Time, Permanent

Salary: £40k-£45k depending on experience

Role Overview

We are looking for a warm, proactive, and highly organised Office Manager to take ownership of front of house and the day-to-day running of our office. This is a varied, hands-on role combining reception duties, hospitality, and facilities management, and is ideal for someone who takes real pride in creating a welcoming, well-run workplace.

The role also extends into broader office management, including liaising with suppliers and contractors, maintaining health and safety standards, and supporting the onboarding of new employees, so that the office runs smoothly and the wider team is well supported.

Key Responsibilities

Office Management & Facilities

  • Liaising with suppliers, contractors, landlords, and service providers
  • Coordinating office maintenance, repairs, cleaning, and facilities management
  • Monitoring office budgets and approving routine expenditure where appropriate
  • Ensuring health and safety standards are maintained, including first aid and fire safety procedures
  • Managing office moves, refurbishments, and workspace planning projects as required
  • Procuring, managing, and maintaining office equipment, furniture, IT peripherals, and workplace resources
  • Supporting the IT and Operations teams with office based technology, coordinating equipment setup and resolving facilities related issues
  • Planning and delivering office improvements that enhance employee experience, productivity, and wellbeing

General Administration & Team Support

  • Providing general administrative support across departments, including filing, data entry, and photocopying (Adhoc)
  • Supporting the onboarding and offboarding of employees, including preparing desks, equipment, and welcome packs
  • Sitting on the events committee and supporting the planning and delivery of staff events
  • Keeping on top of emails and responding promptly
  • Tracking staff birthdays and organising cards and gifts
  • Building strong relationships across the business, acting as a trusted point of contact for workplace and facilities matters
  • Looking for ways to improve how the office operates, and suggesting practical changes that help the team work more effectively
  • Undertaking any other reasonable duties that support the smooth running of the office and wider business

Front of House & Reception

  • Greeting visitors and notifying the relevant person when a visitor arrives
  • Maintaining visitor logs and issuing visitor passes where required
  • Answering and managing the reception mainline phone
  • Managing incoming and outgoing post, including confidential and sensitive documents, and organising couriers where needed
  • Monitoring and preparing meeting room bookings, and ensuring rooms are kept tidy
  • Assisting with client hospitality arrangements
  • Keeping the reception area clean, organised, and presentable

Kitchen & Office Supplies

  • Restocking fridges and kitchen supplies (drinks, refreshments, teas, snacks etc.)
  • Maintaining the coffee machine with water, milk, and coffee beans
  • Collecting and putting away the weekly milk delivery each Monday morning
  • Displaying the weekly fruit delivery each Monday, and clearing baskets ready for collection each Friday
  • Placing the weekly shopping order each Thursday for Monday delivery
  • Organising the office lunch on Fridays when requested
  • Organising laundry collection and delivery
  • Keeping the kitchen clean, organised, and presentable

Person Specification

Experience

  • Proven experience in an office management, front of house, or reception role
  • Experience liaising with suppliers, contractors, or service providers
  • Experience supporting employee onboarding is desirable

Skills

  • Excellent organisational and multitasking skills
  • Strong written and verbal communication skills
  • High proficiency in Microsoft Office (Outlook, Word, Excel)
  • Practical, hands-on approach to problem-solving
  • Comfortable handling confidential and sensitive information
