Purpose

The FPO will work in partnership with the relevant functional GPO and will play a critical role in the successful implementation of our new global ERP system and its ongoing contribution to business performance and transformation.

The FPO will work closely with the GPO to ‘divide and conquer’ the work required to oversee the design, implementation and execution of each E2E business process affected by Program Optimus in their given area of specialism (be this functional or BU) of specific processes. They will also be required to understand the integration between their own process areas and other connected dependencies and functional areas.

Required to challenge and influence, FPOs will ensure that their assigned processes are designed with the program design principle of ‘fit to standard’ at the forefront, challenging this where needed to ensure that the final solution best meets the needs of all functions and/or business units involved in the execution of the process ensuring the business is set up for success for the future. The FPO will require excellent communication skills to ensure they remain completely ‘joined up’ with the GPO regarding the approach to and deliverables of the global processes in their functional area ensuring consistency and that all aspects of the E2E processes are covered.

Key Responsibilities

Key Accountabilities

Working under the guidance of the GPO to deliver the key strategic and business objectives that form part of Program Optimus through:

Design

  • Understand “pain points” that different parts of the business are experiencing within a given E2E process and find creative solutions to these.
  • Challenge the business on the status quo and existing ways of working within their E2E processes to ensure we are truly leveraging the potential of the system to deliver better more simplified processes.
  • Review process design decisions and address implementation issues and questions about project scope ensuring sign off by the GPO as required.
  • Identify the steps and activities required to deliver the process design ensuring an understanding of the key processes.
  • Working with the GPO, ensure effective policies and controls are in place to mitigate risk.
  • Working with the GPO develop and implement KPIs to monitor the processes efficiency.
  • Ensure that defined data standards, tools and methods are used to support data migration activities.
  • Identify improvement opportunities and see these through to fruition.
  • Design a desired future state aligned with a newly envisioned operating model.

Communicate

  • Escalate strategic, cross-GPO issues as needed to the GPO for further escalation as required.
  • Champion the transformation programme throughout the organisation and across initiatives that are in-flight at the same time.
  • Leverage working relationships within the programme and across business functions.
  • Develop communication network with Local Business Process Owners.
  • Support the OCM (organisational change management) function to identify key change issues or ‘pain points’ that we can proactively manage to ensure a smooth transition and buy-in to the program.
  • Work with the Change team to ensure training design, content and roll out in their areas of expertise is delivered in a comprehensive and innovative way.

Adopt

  • Ensure the solution is adopted effectively within each Business Unit, thus maximising the business benefit.
  • Maintain and govern the assigned E2E process after the IT transformation has been implemented.

Skills, Knowledge and Expertise

  • Proven track record in challenging the status quo & delivering results.
  • Operational experience in designing & delivering change / continuous business process improvements.
  • Experience within procurement and understand procurement processes, across all categories; but initially focussed on Directs and Freight.
  • Experience of working with leadership teams.
  • Experience in implementing ERP systems (desirable).
  • Good understanding of the E2E process he or she will oversee, and where it needs to go.
  • Ability to work across all categories within procurement, flexibility to change these as appropriate.
  • Excellent scoping and feasibility skills, working with the business process team to examine possibilities, alternatives and prompting thought.
  • Ability to work in a fast-changing environment & good at dealing with ambiguity.
  • Excellent relationship building skills and proven stakeholder management skills.
  • Strong presentation, facilitation, and communication skills.
  • Strong negotiation skills.
  • Ability to lead regular meetings ensuring goals are met and tasks are being completed.
  • Building good relationships with Local Process Owners.
