Overview of Department

The Fund & Accounting Operations Department plays a significant role within the business, providing a high-quality administration service for Baillie Gifford’s range of Pooled Funds and Trusts. The team are responsible for reconciliations, reporting, and maintenance of income and expense accounting records. The team are also responsible for the production of NAVs for our UK and Investment Trusts as well as the maintenance of shadow records for our North American and World-Wide Funds range. The team work closely with our client servicing, legal and compliance colleagues as well as our third-party vendors in order to provide the best service we can for our Funds and their underlying shareholders.

Purpose of Role

Responsibilities

Operational Excellence:

  • Responsibility for the completion of core administrative tasks, including reconciliations, pricing and reporting, ensuring deadlines are met and adhere to departmental and regulatory standards.
  • Provide feedback on potential system improvements or enhancements to current processes.
  • Adopt a continuous improvement mindset within the Department, scheduling time for self-development and supporting the training of colleagues.
  • Collaborate effectively with internal and external stakeholders to provide the best service for our Funds and shareholders.

Problem-Solving and Communication:

  • Address day-to-day team issues promptly, taking full ownership of queries until resolution.
  • Ensure timely communication of feedback within the team and department and appropriate feedback sharing with other departments within Fund Services and the firm.
  • Participate in and, where appropriate lead, team, departmental and project meetings.

Professional Development:

Your knowledge and experience

  • An understanding of core administrative tasks such as reconciliations, pricing and reporting.
  • Knowledge of Pooled Funds/Trusts.
  • Familiarity with regulatory standards.
  • Proven previous administration experience, preferably within a financial services background
  • IT skills including excel and word knowledge
  • Strong attention to detail and ability to deliver work to a high standard of accuracy
  • Proven organisational skills, can demonstrate ability to meet deadlines and undertake and manage multiple tasks
  • Communication is key. We’re looking for people with excellent written and oral communication skills, which will serve you well in building strong relationships with colleagues

The Type of Candidate that we’re looking for:

We are looking for an experienced and highly organised administrator with a strong understanding of core fund operations activities, including reconciliations, pricing, reporting. The ideal candidate will have knowledge of pooled funds and trusts, familiarity with relevant regulatory standards and, preferably, previous experience within financial services. Strong IT skills, particularly in Excel and Word, are essential, together with excellent attention to detail and a proven ability to deliver accurate, high-quality work.
