Join a growing Australian landscaping business as their go-to administration all-rounder, working fully remotely alongside a hands-on team, with real scope to shape how the business runs and build a long-term career as it grows.
Role Summary
This role owns the back office across the full job lifecycle, from sourcing suppliers and ordering materials through to scheduling, invoicing, staff updates and contracts. Day to day you will manage the business inbox and Google Calendar, keep suppliers and inventory on track, reconcile invoices against the job schedule, and prepare weekly reports with practical suggestions for improvement. You will work in Tradify and Google Workspace, with a mandate to optimise these systems and bring AI tools into everyday workflows. You will also contribute to the business's social media, marketing content and Klaviyo email newsletters, keep staff updated, and liaise directly with the General Manager and owner where needed, making this a genuine operations seat with room to grow alongside the team.
Key Responsibilities
- Manage the business inbox and Google Calendar, keeping jobs, appointments and general admin organised and on track
- Manage suppliers and inventory, ordering materials and liaising with suppliers so every job has what it needs on time
- Regularly assess suppliers and pricing, identifying where better quality or more cost-effective products can be sourced
- Oversee invoicing, matching invoices against the calendar and job schedule, checking for discrepancies and sending payment reminders
- Optimise the business's job management software (Tradify) and assess opportunities to integrate AI tools into everyday workflows
- Prepare weekly reports and provide regular updates and practical suggestions for improvement
- Keep staff updated and liaise with the General Manager and owner where needed
- Assess, prepare and organise contracts with both staff and clients in line with relevant Australian legal requirements
- Create marketing content, manage the business's social media channels, and build and send email newsletters in Klaviyo

What We Are Looking For
- 2+ years of experience in an operations, administration or executive assistant role, ideally supporting an Australian trades, construction or landscaping business
- Hands-on experience with job management software, and confidence using Google Workspace (Gmail and Google Calendar)
- Experience with supplier management, purchasing and invoice reconciliation
- Interest in creating social media and marketing content, with Klaviyo or similar email marketing experience highly regarded
- Comfortable learning and adopting AI tools, and keen to find new ways to automate and improve how the business runs
- Strong attention to detail, able to spot discrepancies and keep records accurate
- Highly organised and proactive, bringing ideas and solutions rather than just completed tasks
- Excellent written and spoken English
- A genuine interest in establishing a long-term career within the business and growing alongside the team
