Job Description: General Manager & Executive Assistant (Construction)

Location: Eastbourne (BN23 6FA) – Office-based – non hybrid
Salary Range: £32,000 – £38,000 per annum (Depending on experience)
Hours: Full-time, Permanent

Role Overview

We are an established construction business seeking a proactive, highly organised, and versatile General Manager & Executive Assistant (EA) to keep our business running smoothly. This is a pivotal role requiring a mix of office management, electronic document & drawing control, bookkeeping, compliance administration and direct personal support to the Managing Director (MD). Additionally, you will be the voice of our company online, managing our social media footprint, website updates, and regular client communications to showcase our ongoing projects.

Key Responsibilities

Office Management & Administration

  • Maintain a smooth, organised, and productive corporate office environment.
  • Document Control: Log, organise, and issue incoming architectural drawings, structural calculations, and technical specifications to site teams through our web-based project management system, “Pro Core”.
  • Procurement: Order office supplies, organise site commencements and completed site decommissioning in coordination with project managers.
  • Manage our compliance administration through uploading ongoing compliance evidence ensuring current accreditations such as constructionline & CHAS remain in date.
  • Oversee internal office systems, files, and general operations.
  • Responsible for onboarding all new staff.

Finance & Bookkeeping Support

  • Handle basic daily bookkeeping tasks (e.g., using Excel).
  • Process supplier invoices correctly onto our fortnightly pay run for our accountant following approval from the commercial manager.
  • Reconcile receipts and manage company expenses and leave requests.

Marketing & Client Communications

  • Social Media: Lead our online presence by posting weekly updates on LinkedIn and other relevant platforms to showcase project milestones, team news, and completions.
  • Website Management: Perform simple text, image, and blog updates on our company website to keep content fresh.
  • Newsletters: Plan, write, and distribute a professional quarterly email newsletter to our client database via email marketing platforms.
  • In Person: Organise and execute client events such as social value initiatives and exhibitions (with the support of the MD).

PA Support to the MD

  • Act as a reliable gatekeeper and support to the Managing Director.
  • Manage the MD’s diary, schedule meetings, and organise travel arrangements when required.
  • Prepare meeting agendas, take minutes if required, and follow up on action items.

Person Specification

  • Experience: Previous experience in an Office Manager, PA, or Senior Admin role is essential. Prior experience within the construction, engineering, or property sector is highly desirable.
  • Technical Skills: Proficiency with MS Office (Word, Excel, Outlook). Familiarity with bookkeeping software (Xero/QuickBooks) and email marketing tools (e.g., Mailchimp) is a strong advantage.
  • Organisational Skills: Exceptional attention to detail, especially when cross-referencing drawings, specifications, and project invoices.
  • Communication: Excellent written and verbal communication skills with a flair for writing engaging online updates.
  • Attributes: Discretion and confidentiality are vital. Must be a self-starter who can multi-task in a fast-paced environment.
