Purpose of the Role

We deliver excellent customer service and ensure exacting standards of presentation and maintenance is delivered on each property we look after. We manage the safety, compliance, and operation of the property, developing positive occupier relationships and we work with Savills Management Surveyors in the delivery of a high-quality property management service for the benefit of Savills clients and occupiers.

Working with an award-winning workspace operator General People that creates personalised buildings in neighbourhood locations entirely designed for our people. Instead of delivering a homogenous product, we focus on creating unique buildings, tailored to their communities, offering bespoke options. Coupled with a rich community wealth-building program, our buildings activate their local areas, boosting the local economy.

To be the responsible person to oversee the daily operations, sales (to support the General People appointment) and maintenance of the property. Liaise with occupiers and owners, coordinate and manage maintenance, housekeeping, and security activities. Ensure the facilities meet regulatory standards and codes of practice.

Key Responsibilities

  • Ensure all Weekly, Monthly and Quarterly checklists are complete and uploaded onto Compass, DataStation or clients preferred system
  • All individual mandatory training is completed within the given timescales.
  • Ensure that high standards of property presentation are achieved and maintained at all times.
  • Ensure best value is being achieved by analysing, auditing and proposing improvements to the existing property management systems in operation.
  • Evaluate existing contractual relationships, and ensure that the occupiers are receiving best value.
  • Create and maintain an effective working relationship with existing approved service partners.
  • Ensure and implement best practice whilst ensuring safe working practices are complied with at all times.
  • Ensure appropriate clear communication lines are established and maintained.
  • Carry out any other reasonable request of the RFM, Property Surveyor or General People
  • Drafting and updating emergency plans and evacuation procedures
  • Overseeing security, fire prevention, and other safety systems
  • Scheduling regular building maintenance and contractual services
  • Instructing Savills approved service partners and professionals for repairs as needed
  • Ensuring that occupants are provided with proper utilities
  • Monitoring building service charge and maintenance budgets
  • Arranging for building improvements where necessary.
  • Overseeing contractors and inspecting work to ensure they are completed to the required standard.
  • Instructing service partners as needed to maintain, repair, or improve the property
  • Resolving complaints, problems, and requests from building occupiers
  • Assisting with emergency response and evacuations

Safety & Security

Ensure compliance with all client and Savills procedures and policies, including but not limited to health and safety, COSHH and environmental matters.

Ensure compliance with all statutory requirements, codes of practice and health and safety requirements.

Promotions/ Public Relations

Establishing and developing good relations and partnerships with various authorities and local agencies, notably:

  • Local authority
  • Police
  • Fire brigade
  • Public transport providers

Ensure that all promotional activities are carried out with due care and attention to the health safety and welfare of staff customers and occupiers.

Establish and develop close working relationships with occupiers, representatives and manage occupiers satisfaction, and confidence in Savills service delivery.

Work alongside General People to deliver on the General People Appointment - Community Engagement

  • Accountable for end-to-end occupier experience. Oversee the move-in and move-out process, organise occupier inductions and check-outs.
  • Build relationships with occupiers on a first-name basis and understand their businesses and growth plans.
  • Promote the company's Community Wealth Building Framework through programs, events, and partnerships.
  • Act as the main point of contact for licence, IT, invoicing, and other tenant-related issues.
  • Ensure excellent communication with occupiers regarding news updates, issues, and events.

Work alongside General People to deliver on the General People Appointment - Sales and occupancy

  • Attend new business viewings and walk-ins, send proposals, negotiate terms with potential clients.
  • Monitor occupancy and work with the sales team to achieve occupancy targets.
  • Analyse growth opportunities through regular meetings with occupiers and prepare occupancy forecasts.
  • Negotiate license terms and renewals with current tenants.
  • Maintain occupier management software and update records.

Work alongside General People to deliver on the General People Appointment - Budgeting and Reporting

  • Provide overall asset reporting and forecasting to senior management, with suggestions for improvements.
  • Manage P&L and report any issues or improvement opportunities.
  • Forecast occupancy levels and budgets, ensuring CRM software accuracy.
  • Make commercial decisions to meet business and social responsibilities, suggesting income generation ideas.
  • Manage occupiers’ records and debt management.

Contractors

  • Conduct Contractor performance reviews in line with Savills policy procedures
  • As a General Manager, liaise with all management technical and administration staff on strategic and operation/service delivery issues.

Staff

Establish effective site teams by successfully recruiting high calibre people, inducting, motivating and developing staff to their full potential. Identify training needs.

Conduct performance reviews in line with Savills policy and procedures identifying personal and skill-based training requirements on an individual basis. Ensure that a training plan is identified and managed.

As a member of the Savills Management team, manage and liaise with all management, technical and administration staff on strategic and operation/service delivery issues towards achievement of their goals.

Quality Assurance

Adhere to all quality assurance requirements.

Ensure compliance at all times with operational standards.

Skills, Knowledge and Experience

Essential

  • Self-motivated, able to work on own initiative.
  • Excellent managerial and inter-personal skills, a proven track record in managing change, extensive experience in managing budgets, good strategic vision and a strong commitment to customer service are vital.
  • Experience in the supervision of contractors.
  • Good understanding of property management.
  • Effective people management and communications skills.
  • A comprehensive knowledge and understanding of legislative health & safety requirements.
  • Good time management skills able to respond to client/contract deadlines.
  • Ability to use full range of Microsoft applications inc. Word, Excel, PowerPoint, Outlook.

Working Hours - 08.00 -17.00
