Role of the General Office and Reprographics Assistant

The role of the General Office and Reprographics Assistant is to provide a friendly and efficient service to internal clients.

The team currently consists of one Senior General Office and Reprographics Assistant and three General Office and Reprographics Assistants.

The role will require the ability to work in a hybrid fashion across the General Office and Reprographics departments and provide a post and print room service to the lawyers and business services staff across the business. From time to time there may be changes in service requirements and the need to assist the Facilities team with project work such as office and desk moves as required. The ability to switch between tasks quickly and adeptly will be a key part of the role and will bring variety and responsibility to the successful candidate.

This is a full-time, office-based role. Shift work will be required to cover the team between 8am and 6pm.

Roles and Responsibilities

  • Provide a friendly and efficient service to internal and external clients
  • Adhering to Service Level Agreements (SLAs) as set out and agreed with the business
  • Completing general reprographics duties including scanning, printing and finishing work
  • To have a good knowledge of equipment used in the department
  • Ability to produce court bundles of all specifications, including using appropriate tabbing and working to complex indexes
  • Ability to create, edit, manipulate and manage PDF documents independently using both PDF docs and Fox IT.
  • Experience operating Fiery-driven multifunction printers, including setting up print jobs, monitoring queues, and ensuring output color accuracy
  • Produce and finish legal documents using a range of binding methods including strip binding, coil binding and Velobind, ensuring documents meet client and court requirements.
  • Care and understanding when handling original, confidential and historic legal documentation
  • Where required log all incoming work and prioritise dependant on deadlines, or where the deadline cannot be met good communication with the originator.
  • Use IT systems and software to receive, format and collate documents.
  • Knowledge of BigHand or other workflow tool advantageous
  • Sorting of incoming Royal Mail, DX post & Internal deliveries
  • Booking of couriers international, domestic & local using online portals
  • Email and regular communication with internal clients
  • Regular distributions & collections of post and internal mail
  • Regular loading bay collections & deliveries
  • Support the Helpdesk and all other Facilities, ICS & Business Support services as required
  • Assisting the Senior General Office and Reprographics Assistant with workflow coordination when required.
  • Stock control of and ordering supplies
  • Any other duties on an ad-hoc basis
  • Comply with all relevant legal and regulatory obligations including the Solicitors Regulation Authority (SRA) Standards and Regulations, and Principles.

Essential

  • Have previous experience in a similar role
  • Good experience and knowledge of Excel, PDF, Word and Outlook

Desirable

  • Experience working in a post room, reprographics environment, or operating high-volume printing, copying and binding equipment would be advantageous
