We are working with a well-established and internationally recognised law firm who are looking to recruit a General Office & Reprographics Assistant to join their busy Business Services team in the City of London.
This is a varied and hands-on role, providing an efficient and high-quality post room, reprographics and general office service to lawyers and business services staff across the firm. The successful candidate will work as part of a collaborative team and will need to be comfortable switching between different tasks throughout the day. Alongside reprographics and post room responsibilities, there will also be opportunities to support the wider Facilities team with projects such as office and desk moves.
Key Responsibilities
- Provide a friendly, professional and efficient service to internal and external clients.
- Complete a range of general reprographics duties, including printing, scanning, copying, collating and finishing documents.
- Produce and prepare court bundles, working from complex indexes and using appropriate tabbing and finishing techniques.
- Create, edit, manipulate and manage PDF documents independently using relevant PDF software.
- Operate high-volume, Fiery-driven multifunction printers, including setting up print jobs, monitoring queues and ensuring high-quality output.
- Produce and finish legal documents using a variety of binding methods, including strip binding, coil binding and Velobind, ensuring documents meet client and court requirements.
- Handle original, confidential and historic legal documentation with appropriate care and attention to detail.
- Log and prioritise incoming work according to deadlines, communicating effectively with internal clients where deadlines cannot be met.
- Use relevant IT systems and workflow software to receive, format and collate documents.
- Sort and distribute incoming Royal Mail, DX post and internal deliveries.
- Arrange domestic, international and local couriers using online booking portals.
- Manage regular post and internal mail collections and distributions.
- Coordinate loading bay collections and deliveries.
- Maintain regular communication with internal clients regarding requests and deadlines.
- Support the Helpdesk and wider Facilities, ICS and Business Support teams when required.
- Assist with office projects, including office and desk moves.
- Support the Senior General Office & Reprographics Assistant with workflow coordination when required.
- Monitor stock levels and arrange ordering of relevant supplies.
- Work in accordance with agreed Service Level Agreements (SLAs).
- Carry out other ad-hoc duties and responsibilities as required.
- Ensure compliance with relevant legal and regulatory requirements.

Essential:
- Previous experience in a similar office services, reprographics, post room or business support role.
- Good working knowledge of Microsoft Word, Excel and Outlook, as well as PDF software.
- Strong attention to detail and the ability to work accurately under pressure.
- Excellent organisational and prioritisation skills, with the ability to manage multiple requests and deadlines.
- Good communication skills and a professional, client-focused approach.
- Ability to work effectively as part of a team while also managing tasks independently.
- Flexible and adaptable approach, with the ability to move between different responsibilities throughout the day.
Desirable:
- Previous experience working within a law firm in a similar role is essential.
- Experience working within a post room or reprographics department.
- Experience operating high-volume printing, copying and binding equipment.
- Experience producing legal documents and court bundles.
- Knowledge of BigHand or another workflow management system.
- Experience working with Fiery print management systems.
