Role Description
The Global Bids Manager is responsible for leading the coordination, development and submission of high-quality bids, tenders, proposals, questionnaires and presentations across the group. This includes bid planning, content development, document management, stakeholder engagement, proposal strategy support, and ensuring compliance with client requirements and organisational standards.
As a key member of the Global Sales & Bids function, the Global Bids Manager plays a critical role in shaping and scaling Airswift's global bid capability. Partnering closely with Presidents, Regional Leaders, Sales Leaders and Marketing, the role will drive bid excellence across the group, support strategic growth opportunities and improve proposal win rates.
The role will champion the adoption of AI and automation technologies, establish scalable processes, tools and frameworks, and foster a collaborative culture of continuous improvement, knowledge sharing and capability development across the global bids function.
Principle Accountabilities:
Global Bid Leadership & Delivery:
- Act as a strategic partner to the Sales Team, providing bid expertise, value proposition creation, guidance and support throughout the opportunity lifecycle.
- Lead the coordination and delivery of strategic, global and cross-regional bids, ensuring compliance with client requirements and internal governance processes.
- Lead the development of the global bids community, fostering high performance, capability growth, knowledge sharing and continuous improvement.
- Facilitate bid qualification meetings and lead bid/no-bid discussions with key stakeholders to ensure opportunities are appropriately assessed and aligned with business objectives.
- Develop bid responsibility matrices, project plans and submission schedules to support efficient bid execution.
- Coordinate internal stakeholders and subject matter experts to secure timely, accurate and compliant responses to client requirements.
- Evaluate proposal content to ensure alignment with client needs, opportunity strategy, Airswift's value proposition and competitive positioning.
- Produce, review and oversee high-quality proposal submissions and supporting documentation within agreed timelines.
- Ensure all submission documentation undergoes appropriate quality reviews, legal reviews, and stakeholder approvals prior to client submission.
- Maintain proposal documentation, opportunity records and submission files within SharePoint.
- Maintain robust bid reporting, pipeline visibility and performance insights to support decision-making, governance and continuous improvement across the business.

Bid Excellence, Governance & Continuous Improvement:
- Drive continuous improvement initiatives across the global bids function, identifying opportunities to improve quality, efficiency, collaboration and win probability.
- Establish, maintain and promote global bid management standards, governance frameworks, processes, templates and best-practice methodologies.
- Lead the development of Airswift's global bid capability, collaborating with Marketing, Presidents and Sales Leaders to create scalable templates, playbooks, best-practice processes, AI-enabled tools and compelling client propositions that support growth and increase bid success rates.
- Lead regular reviews of bid outcomes, lessons learned and feedback programmes to identify trends and implement improvements across the function.
- Monitor adherence to bid processes and quality standards, ensuring consistency across all regions and bid teams.
- Champion a culture of operational excellence and continuous learning across the global bids community.
- Champion the use of AI and automation tools to improve proposal quality, consistency, speed and sales productivity.
- Partner with regional bid teams to resolve challenges, share successful approaches and drive alignment across global bid operations.
Team Support & Capability Development:
- Provide functional leadership and oversight of regional bids teams, establishing global standards, processes, tools and best practices. While regional team members remain locally managed, this role will be accountable for driving capability development, quality, consistency, collaboration and bid performance across the group through strong influence and partnership with Presidents and Regional Leaders.
- Establish effective succession, cross-training and workload management practices across the bids function, ensuring team members are appropriately briefed, developed and equipped to provide seamless support during absences, leave periods and peak bid activity.
- Hold regular governance and support meetings with regional bid teams to discuss challenges, provide guidance and share best practices.
- Facilitate collaboration between regions, encouraging the sharing of knowledge, resources, client intelligence and successful bid strategies.
- Support onboarding and training activities for bid team members and other internal stakeholders involved in the bid process.
Content & Knowledge Management:
- Lead the ongoing development, governance and optimisation of the Bids Knowledge Base, ensuring content remains current, relevant and aligned with strategic messaging.
- Manage the creation, review and approval of bid content, ensuring consistency with brand standards, value propositions and solution messaging.
- Oversee Launchpad content strategy and governance, ensuring content quality, accuracy, usability and accessibility across the business.
- Review, approve and govern all new and updated Launchpad content, ensuring alignment with brand standards/templates, best practices and strategic messaging, and maintain accurate categorisation and tagging within Launchpad to maximise content accessibility and reuse.
Skills, Knowledge, and Experience:
- Proven experience in a bid, proposals or pursuit management role, ideally within the energy, infrastructure, workforce solutions or professional services sectors.
- Demonstrated experience leading complex, strategic and/or multi-region bid opportunities.
- Strong digital capability and an interest in leveraging AI, automation and emerging technologies to improve productivity and bid performance.
- Excellent written, verbal and presentation skills, with the ability to influence and communicate effectively with stakeholders at all levels.
- Strong stakeholder management and relationship-building skills, with the ability to collaborate across functions, regions and senior leadership teams.
- Experience developing or improving bid processes, templates, governance frameworks and best-practice methodologies.
- Strong project management, planning and organisational skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience using CRM, content management or bid management platforms; knowledge of Bullhorn is advantageous.
- Proficiency in Microsoft Office applications (Word, Excel and PowerPoint) and relevant document, presentation and design tools.
- Experience with Canva and Microsoft Copilot or other AI-enabled tools is advantageous.
- A proactive, solutions-focused mindset, with the ability to work independently, drive continuous improvement and adapt to changing business needs.
