The Institute and Faculty of Actuaries (IFoA)

The IFoA is the UK's chartered professional body dedicated to educating, developing and regulating actuaries based both in the UK and internationally.

The IFoA regulates and represents over 34,000 members worldwide, overseeing their actuarial education at all stages of qualification and development throughout their careers. We set examinations, continuing professional development, professional codes and disciplinary standards for our members.

We are currently recruiting a Global Events Co-ordinator for a Permanent contract.

This role is hybrid, both working from home and our London hub with travel to event locations.

We encourage our colleagues to work flexibly between home and the hub to suit their needs and preferences, in line with our hybrid working policy. Colleagues are able to work their hours flexibly, in line with core business hours and requirements. We also offer formalised flexible working agreements.

The starting salary is £29,450.

Purpose of Job

To co-ordinate and deliver online webinars and in-person events as assigned by the Head of Global Events and assist the Events Team in planning and organising the larger IFoA flagship in-person events. The role covers event management from initial brief through to successful fruition and event evaluation for both online and in-person events, with responsibility for successful delivery of an own portfolio of events.

Principal Accountabilities

  • Work with the team to set up and deliver circa 50 online webinars annually, and work as part of the team on several in-person events ranging from 100 to 1,000 attendance, working to set deadlines.
  • Ensure all event delivery complies with corporate guidelines and processes.
  • Work with Communities Managers to ensure programme content is delivered to meet corporate objectives.
  • Ensure internal and external stakeholder expectations and objectives are met through successful, professional event delivery.
  • Create speaker and delegate communications, in compliance with corporate communication strategy guidelines and tone of voice guidelines.
  • Keep abreast of latest technology and conference production techniques to contribute to improving the delegate experience year on year.
  • Work within the Procurement process guidelines to ensure engagement of 3rd party suppliers provides the IFoA with the most appropriate service and the best return on investment.
  • Provide regular and timely reports to line manager and Head of Global Events on in-person events and webinar status, including any key issues that need to be resolved to enable events to be delivered to initial brief and within set budget.
  • Attend Organising Committee meetings as required for the event to provide event logistics or webinar delivery advice.
  • Once programme is confirmed, liaise with speakers, event chair and keynote speakers.
  • Project manage timelines to ensure all parties involved meet key dates within the planning process to enable the event or webinar to be delivered.
  • Ensure delegates and speakers have been provided with the correct and relevant event information and joining instructions.
  • Ensure all 3rd party suppliers have been provided with a detailed brief prior to the event where necessary.
  • In full liaison with line manager, Communities Manager, Marketing Executive and Organising Committee, ensure created copy reflects the event correctly.
  • Work with the Web team to upload event detail onto the website and keep information up to date in line with organisational guidelines.
  • Ensure all speaker presentations and event recordings are uploaded onto the member resource library accurately to provide delegates with research documentation within specified timescales.
  • Adhere to the corporate style guidelines and maintain the IFoA's quality standards and corporate image.
  • Assist the Marketing Executive by providing event information copy for eNewsletters and external advertising.
  • Collaborate with the Global Sponsorship Manager to promote the financial partnership opportunities available.
  • Assist as needed onsite at in-person events and residential conferences.

Essential

Knowledge and experience

  • Event management experience.
  • Strong communicator with excellent interpersonal skills.
  • Delivering online webinars using Zoom or similar software.
  • Excellent attention to detail.
  • Self-motivated.
  • Creative.
  • Excellent time management skills. Ability to manage own workload and prioritise work.
  • Excellent project management skills (organisation and planning)
  • Ability to work autonomously but also be able to be an active member of a team environment.
  • Good IT skills and have an affinity with databases and proven ability to maintain accuracy.

Desirable

  • Experience of working within a membership organisation.
  • Experience of working within a diverse stakeholder organisation.

Decision-making and complexity

The post holder prioritises their personal workload and works to agreed event delivery deadlines to ensure successful completion of the event programme and meet all stakeholder expectations. Decisions are always made in adherence to departmental and organisational guidelines. The post holder contributes to discussions on appropriate ways to improve the member journey and is responsible for the representation of the corporate image in both event marketing materials and when communicating with colleagues and stakeholders.

The role involves managing multiple events and projects simultaneously whilst establishing and meeting strict deadlines and remaining within set budgets. Any one project has multiple deadlines throughout the organising process, requiring the post holder to be an effective project manager capable of multi-tasking and meeting tight deadlines. Programme development involves working alongside the line manager and Communities Managers and attending committee meetings as required to advise committees on all aspects of event logistics to ensure their programme content objectives are met.

The post holder is responsible for working in a team to deliver relevant lifelong learning events for members and non-members of the IFoA. By evaluating processes used in the development and planning of all events and making changes where needed, the role ensures that the IFoA's objectives are achieved and the member experience improves.

Additional Dimensions

  • The post holder works within set budgets of up to £50,000 per event; no financial authority limit.
  • Responsible for assisting in the delivery of approximately 50 webinars annually and working as part of the team on several in-person annual events ranging from 100 to 1,000 attendance.
  • Travel to event locations will be required. Out-of-hours and occasional weekend working will be required.
