Role Description
Department
Global Opportunities works closely with the three academic Faculties as well as other professional support services, students, and external partner institutions and agencies to manage the development and implementation of a range of Global Opportunities. The role holder is required to coordinate and administer these programs and provide specialist advice to prospective and current students, staff, and partners on the opportunities, requirements, and practicalities of the schemes on offer.
The role holder will work closely with prospective and current students, partner universities, Global Opportunities staff, and members of other University departments, including the wider International Recruitment, Partnerships, and Mobility team, to ensure an efficient and seamless service delivery across all programs and activities.
The Study Abroad Team within Global Opportunities is responsible for both incoming and outgoing study abroad programs. This role will primarily focus on the University's Visiting Student Programme (incoming study abroad). Working collaboratively as part of the Visiting Student Team, the postholder will coordinate and deliver the University's portfolio of incoming study abroad opportunities, supporting undergraduate, postgraduate taught, and postgraduate research visiting students who come to York to undertake a period of study as part of their degree at their home institution.
Visiting students join the University through a range of routes, including exchange and fee-paying partnerships, direct enrolment, government-sponsored programs, third-party providers, junior year abroad programs, and independent applications. Undergraduate and postgraduate taught visiting students typically study at York for one or two semesters, while postgraduate research visiting students may join the University for up to 12 months. The role holder will work closely with prospective and current students, partner institutions, and colleagues across the University to deliver an excellent student experience throughout the visiting student lifecycle, from enquiry and application through to arrival, study, and departure, while contributing to the wider work of the Global Opportunities team where required.
Role
- To be a primary advisory contact for enquiries by phone, email, and 1:1 in-person and virtual appointments– this may include complex student casework requiring experience and understanding of a range of academic and personal issues affecting study abroad (visiting students at York and York students going abroad) decisions, guiding students through the study abroad lifecycle.
- To plan and implement a range of study abroad-related events, activities, and publications e.g. visiting student events, Study Abroad Fairs, stands on Open Days and Post Offer Visit Days, Global Opportunities Fair, talks in departments and colleges, attending in-person and online meetings and events for promotional purposes, and briefing academic and Faculty support staff.
- To produce and disseminate information in a written format, via website updates, study abroad at York information webinar, pre-application and pre-arrival webinars, promotional and informational materials, virtual workshops and meetings, and in-person events to students, staff, and other interested parties, e.g. liaising with departments to update visiting student webpages, creating mini-sites, preparing pre-departure briefing materials, and risk assessment templates.
- To coordinate the program contracts with partner institutions and organizations, keeping track of when contracts need to be renewed, reviewed, amended, and regular correspondence with partners.
- To liaise with academic and administrative staff within Faculty structures and other professional services, e.g. Student and Academic Services, Transcripts, Accommodation, Admissions, International Student Support, Finance Office, Careers and Placements, Student Support Hub, and Colleges to coordinate operations and to represent expertise in study abroad related matters.
- To manage Global Opportunities related finances and associated work order and accounts, to be responsible for distributing funding and managing payments to and from: partners; students relating to bursaries, fees, and other costs. Responsible for the production and maintenance of records relating to all funded mobility e.g. ISEP, Turing, Erasmus+, summer school fees, and associated costs.
- To undertake complex tasks related to incoming and outgoing study abroad developments e.g. research into new incoming study abroad partners, exchange destinations, and schemes, including due diligence, partner liaison, advice to departments on the types of schemes available. These tasks may involve working closely with members of other Professional Services teams, other internal teams, e.g. Careers and Placements, and Faculty staff, as well as external partner institutions, sector organizations, and third-party providers.
- To participate in study abroad initiatives to support the growth and development of student opportunities, including attending conferences and forums, mobility-related fairs, and partner visits, both in the UK and overseas.

Skills, Experience & Qualification Needed

- Experience of working in Higher Education within study abroad and/or dealing with international students and organizations and advising students and/or academic staff.
- Experience of working with internal and external student funding sources and allocation mechanisms e.g. ISEP, Erasmus+, Turing Scheme.
- A thorough knowledge of office-based administrative processes and procedures and a working knowledge of student data management systems e.g. SITS, e:Vision, Mobility Online.
- Willingness to work outside typical office hours and undertake travel involving overnight and overseas stays on occasion.
- Level 3 qualification. (Qualifications at this level include A levels. Please view the full list). We also welcome applicants with equivalent non-UK qualifications or equivalent professional experience.
- Communicate effectively in verbal and written formats, including the use of a variety of digital tools.
