Preventx – Governance Administrator

Location: Preventx HQ, MBP5, Meadowhall Business Park, Carbrook Hall Road, Sheffield S9 2EQ (On-site)

Contract: Part Time 22 hrs per week

Shift Pattern: Monday - Friday

Reports to: Director of Governance

Role Overview

We’re seeking a detail-oriented Governance Administrator to join our Quality Team. You will provide administrative and coordination support across Preventx’s governance framework, helping to ensure meetings, reporting, actions and governance records are managed effectively. The role will support the Director of Governance and work across the organisation to coordinate information, maintain oversight of actions and deadlines, and ensure governance processes run consistently and efficiently.

Key Responsibilities

  • Coordinate governance meetings, including scheduling, agendas, papers and meeting packs.
  • Take clear and accurate minutes, capturing key decisions, actions and areas for escalation.
  • Maintain governance action logs and follow up with action owners to support timely completion.
  • Coordinate the governance reporting cycle and ensure reports and papers are received within agreed timescales.
  • Maintain governance records, Terms of Reference, membership lists and forward plans.
  • Support the flow of information, actions and assurance between governance forums and the Executive Board.
  • Maintain key governance trackers, calendars and assurance schedules.
  • Support the collation of information and evidence for regulatory inspections, external assessments and audits.
  • Assist with the preparation of governance reports, dashboards and presentations.
  • Monitor key deadlines and escalate overdue actions or reporting requirements where appropriate.
  • Provide administrative support for risk, business continuity, health & safety, clinical governance and other areas within the Governance function.
  • Support governance projects and improvement activity.
  • Maintain organised and accessible governance records, ensuring appropriate confidentiality and information handling.
  • Provide general administrative and coordination support to the Director of Governance and wider executive team.
  • Liaise with teams across the organisation to obtain information, updates and evidence required for governance and assurance activities.
  • Support the administration and maintenance of the organisational risk register, including coordinating updates with risk owners, monitoring review dates and actions, and ensuring risks are escalated through the appropriate governance routes.

Person Specification

The preferred candidate will have the following experience, abilities, and aptitudes:

Essential Qualifications

  • Good standard of education, including English and Maths, or equivalent relevant experience

Knowledge and Experience

  • Understanding of good governance, including the importance of accurate records, clear accountability, actions and escalation.
  • Awareness of risk management and the purpose of organisational risk registers.
  • Understanding of confidentiality and appropriate handling of sensitive information.
  • Experience working in an administrative or coordination role, ideally within a regulated or governance-focused environment.
  • Experience coordinating meetings, including agendas, papers, minutes and action tracking.

Skills

  • Excellent organisation and attention to detail, with the ability to manage multiple deadlines and priorities.
  • Strong written communication skills, including the ability to produce clear, concise and accurate meeting minutes.
  • Competent in Microsoft Office.
  • Ability to work independently, use initiative and recognise when escalation is appropriate.
  • Able to handle confidential and sensitive information appropriately.
