Finance Assistant at twentyai

The Finance Assistant provides essential day-to-day accounting support to senior management. This role is responsible for managing the accuracy and compliance of financial transactions across income and expenditure, administrating payroll processing, and supporting the month-end close process to deliver timely financial information for strategic decision-making.

Key Responsibilities

  • Banking and Cash Management

    • Post and allocate transactions across all bank accounts, ensuring they are recorded against the correct ledger and nominal codes.
    • Complete weekly and month-end bank reconciliations, investigating and clearing any unreconciled items.
    • Monitor and reconcile the invoice financing facility, including disapproved invoices, recourse balances, sounded invoices and the retention account.
    • Arrange transfers between company bank accounts when required.
  • Sales and Purchase Ledgers

    • Manage day-to-day sales and purchase ledger transactions, including verifying, posting, coding and allocating invoices, receipts and payments.
    • Prepare and issue client invoices and upload the required billing information to client and vendor portals.
    • Reconcile client and supplier accounts, investigating and resolving missing invoices, overpayments, unallocated cash and other discrepancies.
    • Maintain aged debtor and creditor reporting and proactively chase clients for payment.
    • Prepare supplier payment runs and review employee expense submissions.
    • Upload paid permanent placement invoices into T360 for commission calculations.
    • Respond to client and supplier queries and maintain appropriate supporting records.

  • Contractor Timesheets and Payroll

    • Download and upload timesheet data into Intime, reviewing submissions and following up missing or incorrect timesheets.
    • Administer EU contractor payroll accurately and post the related payroll journals.
    • Respond to contractor payroll, expense and VAT queries, escalating more complex matters where required.
  • Month-end and Wider Finance Support

    • Support the month-end close, including posting journals prepared by senior management and assisting with month-end schedules.
    • Prepare monthly staff headcount information.
    • Assist with audit requests and the collation of supporting documentation.
    • Monitor Finance mailboxes and respond to requests for ad-hoc financial information.
    • Perform any other duties that may reasonably be required within the Finance team.

Skills and Experience

  • Bachelor’s degree in accounting, finance, or business management (or similarly relevant discipline) desirable.
  • Good Excel skills including knowledge of lookups, nested and logical formulas.
  • Experience of Sage 200 would be beneficial, including knowledge of the sales and nominal ledger.
  • A confident communicator, with excellent written and verbal communication and interpersonal skills.
  • Great attention to detail and methodical in approach with good problem-solving skills.
  • Well organised with the ability to prioritise and manage multiple deadlines.
  • A team player wanting to contribute, grow and add value.
  • A technology orientated individual with a willingness learn.
  • A passion for furthering commercial and business acumen.
