Responsibilities

The purpose of this role is to provide proactive support and administration to the Graduate Recruitment & Development function, acting as a primary point of contact for all staff, including key internal stakeholders and to provide a full and comprehensive service to support the effective recruitment, management, development and qualification of trainee solicitors and solicitor apprentices in the London office.

Recruitment

  • Assist in screening of online applications for the solicitor apprenticeship programme, open days and events, work experience programmes, vacation schemes and training contracts.
  • Maintain the graduate recruitment inbox daily, responding to all queries in an accurate and timely manner.
  • Respond to all telephone enquiries from candidates.
  • Assistance in providing application and assessment feedback to candidates.
  • Organisation of solicitor apprenticeship, vacation scheme and training contract assessment centres either in-office or virtually, to ensure all relevant materials are ready for the day and each assessment centre has been resourced in advance.
  • Administer online psychometric tests to candidates being interviewed through the solicitor apprenticeship programme, vacation scheme and training contract assessment centres.
  • Assist with assessment day interviews for the solicitor apprenticeship programme, vacation schemes and training contracts.
  • Create offer paperwork for all solicitor apprenticeship, vacation scheme and training contract opportunities.
  • Assist in supporting the general recruitment team with scheduling of interviews and attendance at interviews when required.

Campus Activity and Brand Promotion

  • Organise in-person or virtual annual university law fair and campus event schedules.
  • Support the GR&DM by attending law fairs and on campus events throughout the year.
  • Work with the GR&DM in building relationships with our key target universities.
  • Organise artwork for publications and websites in conjunction with DTP.
  • Keep graduate recruitment publications and website entries up to date in conjunction with Business Development & the GR&DM.

Work Experience Programmes (WEP/vacation schemes) and Work Experience Schemes (WES)

  • Organise and facilitate informal work experience schemes (WES) and ad-hoc work experience requests throughout the Firm, including non-legal.
  • Organise and participate in open day and attraction events.
  • Assist in the organisation and running of the vacation scheme programmes alongside the GR&DM including attending all social events.

Diversity

  • Support the GR&DM with all diversity, equity and inclusion initiatives including internal activity and external partnerships.
  • Assist in organising and attending networking sessions and events with our diversity partner organisations.

Future Trainees

  • Maintain up to date contact information for all solicitor apprentices and future trainees.
  • Organise payment of tuition fees and maintenance grants.
  • Organise and attend future trainee social events.
  • Participate in the wider future trainee contact programme.

Trainee Development

  • Log all trainee solicitor absence and keep the GR&DM informed of any issues.
  • Send out joining instructions to future trainees and manage new joiner, changes and leaver process.
  • Logging and filing of all current trainee solicitor appraisals.
  • Providing administrative support to the GR&DM during the bi-annual qualification process.
  • Providing administrative support to the GR&DM during the bi-annual seat move process.
  • Scheduling trainee career development meetings with the GR&DM.
  • Scheduling exit interviews with trainees where applicable.
  • Responsible for all administration surrounding the client and international secondment process.
  • Keeping the HR system (Peoplesoft) up to date at all times.
  • Keeping trainee and future trainee personnel files up to date at all times.

Other

  • Organise timely payment of all invoices relating to graduate recruitment and development.
  • Process all candidate expenses following relevant events.
  • Maintain the graduate recruitment bible, ensuring all processes are up to date.
  • Run reports and produce metrics on Graduate Recruitment activities as required by the business.
  • Involvement in developing the Mayer Brown brand and reach through Graduate Recruitment social media forums.
  • Other ad hoc duties within Graduate Recruitment and the wider HR team as and when required.

Qualifications, Experience And Personal Attributes

Ideally educated to degree level or equivalent.

Experience, Skills And Personal Attributes

  • A strong administrative background gained within a fast moving and demanding professional services environment is desirable.
  • Strong verbal and written communications skills. The successful applicant will liaise with fee-earners and support groups throughout the firm and with students and various external organisations.
  • Precision and excellent attention to detail.
  • Ability to work under pressure and meet deadlines.
  • Ability to use initiative and provide proactive support to the team.
  • Professional, reliable and very well organised.
  • Flexible and adaptable approach to work; the role will involve additional hours, evening work and travel during peak times.
  • Excellent level of IT literacy and proficiency in Microsoft Packages including Word, Excel and PowerPoint.
  • Advanced verbal and written English language skills.
