Position Title: Grants Management Intern

Location: London, UK or Geneva, Switzerland (hybrid working set-up)

Reports to: Director, Business Engagement & Partnerships

Hours per week (average): Full-time

Contract type: Fixed 6-months, with possibility to renew for one further 6-month period, by mutual agreement. (2 months' probation period). The internship is paid.

The Coalition is a group of seven nonprofit organizations: BSR, CDP, Ceres, Climate Group, CLG Europe, The B Team, and WBCSD. Together, we catalyze business and policy action to halve emissions by 2030 and accelerate an inclusive transition to a net-zero economy.

To support our work, we are seeking a highly organized and detail-oriented Grants Management Intern to support the effective management of donor-funded grants and regrants made to external partners. The role offers broad exposure to grants management within a globally recognized climate nonprofit, working across program, finance, operations, and partnerships teams to coordinate timelines, documentation, reporting, and processes.


GRANTS MANAGEMENT INTERN

Reporting to Director, Business Engagement & Partnerships, the Grants Management Intern will support effective and efficient management of grants across We Mean Business Coalition (WMBC). Working with multiple teams and program areas, the Intern will gain broad exposure to the systems, processes, and coordination involved in managing both donor-funded grants and grants made to external partners.

The role offers a unique opportunity to develop practical experience in grants management within an international climate NGO, while also building an understanding of how program, finance, operations, and partnerships teams work together to deliver effective grantmaking. Over time, the Intern will use this cross-program perspective to identify recurring challenges, operational gaps, and opportunities to strengthen consistency and efficiency in the grant management lifecycle.

The Grants Management Intern will be an active member of WMBC, working closely with the Business Engagement & Partnerships and Finance & Operations teams, and contributing to shared projects and day-to-day operations. They will support teams in meeting grants deadlines, ensuring accurate, timely grant reporting and grantmaking, and improving processes and workflows.

This position is well-suited to someone who is highly organized, curious, and detail-oriented; thrives in dynamic environments; enjoys working across teams, and is eager to build their practical experience of program administration and grants management.

ESSENTIAL DUTIES & RESPONSIBILITIES

Donor Grant Management

  • Maintain trackers of where grants are across the grant lifecycle, from proposal development and submission through reporting and closeout.
  • Support coordination and tracking of grant-related communications, timelines, deliverables, and documentation, in line with reporting requirements and deadlines.
  • Maintain accurate and up-to-date grant records in the grants management system.
  • Organize documentation provided from program, finance, and other internal teams to ensure timely completion of grant deliverables.
  • Support, as directed, in the preparation of donor reports, proposals, budgets, and other grant materials.
  • Support in the tracking of donor requirements, preferences, and expectations.

Regrant Management

  • Support, as directed, in the administration of grants made to external organizations.
  • Assist with the preparation and review of grantmaking materials, ensuring accuracy in grant amounts, formatting, sequencing, organizational information, and summary materials.
  • Maintain trackers of grantees, grant agreements, reporting requirements, payments, and other documentation.
  • Support in coordinating compliance and due diligence processes to ensure relevant colleagues are reviewing proposal materials, grant records, and grantee reports within agreed timelines and flagging issues for follow-up.

Grants Operations & Process Improvement

  • Help identify operational challenges, recurring issues, and gaps and contribute to continuous improvement.
  • Maintain internal trackers, templates, guidance materials, and other tools to support consistent grants management practices.
  • Provide administrative and operational support to program teams on grants-related activities as needed.

Cross-functional support

  • Provide flexible support to other teams across WMBC as needed, including research, event coordination, and administrative tasks related to internal initiatives.

  • Comfortable working with systems, processes, and detailed information; enjoys keeping projects and workflows organized behind the scenes of mission-driven work.
  • Excellent administrative and organizational skills, including the ability to manage multiple priorities, meet tight deadlines, track complex workflows, and maintain accurate records.
  • Strong attention to detail and a commitment to producing high-quality work.
  • Strong oral and written communication skills and the ability to communicate clearly and professionally with colleagues and external partners.
  • The ability to work independently as well as collaboratively across teams and issue areas.
  • A collaborative, service-oriented approach, with a strong sense of ownership and a willingness to step in as needed to support shared goals.

Experience & Interests

  • Curious and willing to learn, with an interest in working across teams to understand cross-organizational context and how different pieces of a process fit together.
  • Interest in philanthropy, nonprofit operations, grants management, or climate issues.
  • Experience with grants processing and grantmaking operations preferred but not required.
  • International work or cross-cultural experience preferred but not required.

Technical Proficiency

  • Proficiency in Microsoft 365; experience with Salesforce and Fluxx is a plus.
