Remote within the UK | Flexible 4 day week | £32,000-£35,000 FTE (£25,600-£28,000 actual) | Reporting to the Head of Programmes & Development.
FCDO Families is the dedicated family support service for the Foreign, Commonwealth & Development Office (FCDO). We help families of UK government officers make informed decisions, prepare for and confidently navigate their life overseas.
We are seeking an organised, proactive and detail-oriented Operations & Grants Coordinator to manage the delivery of our grant programmes, administration and operational processes.
This is a varied role for someone who enjoys working with systems, data, reporting and process improvement. The successful candidate will ensure our grant programmes operate efficiently while helping us modernise systems, strengthen reporting and improve organisational efficiency through automation and AI-enabled processes.
Key Responsibilities
Grant Administration
- Manage full life cycle of grant process
- Maintain accurate records
- Process grant payments and monitor budgets
- Produce reports and programme updates
- Support compliance, governance and audit requirements
- Track grant outcomes and impact data
Administration
- Manage community/database onboarding and offboarding
- Ensure records and databases are accurate and up to date
- Assist with event admin
Operations & Systems
- Review and improve internal processes
- Support CRM development and data management
- Proactively identify opportunities for automation and efficiency and deliver solutions
About You
You will be highly organised, confident working with data and financial information and comfortable managing multiple priorities. This role requires someone who can work independently, take ownership of their work and make progress with minimal supervision. We're looking for a proactive, resourceful individual who enjoys finding solutions, using their initiative and getting things done.

Essential Experience
- Grant administration, funding programmes or not-for-profit administration
- Ability to interpret and apply programme guidance, funding rules and eligibility criteria
- Operations, project coordination or business support
- Database, CRM or membership management
- Producing reports, maintaining accurate records and handling sensitive information
- Working with budgets and financial processes
- Strong Microsoft 365 skills, particularly Excel

This UK-based role requires the successful applicant to attend an in-person, right-to-work check and hold British citizenship to meet security clearance requirements (SC) SC - Guidance Pack for Applicants - GOV.UK

Interviews will take place during the week commencing 12 October 2026.
The successful applicant will be subject to UK Government Security Clearance (SC), which can take up to six weeks to complete.
We would anticipate the start date of this role to be January 2027.
