Description
ROLE OVERVIEW
This is a key administrative role supporting the smooth and compliant delivery of CAA and EASA examinations at our Oxford Campus.
Working closely with the CTKI and DCTKI, you will take responsibility for coordinating the administration of our ATPL examinations, ensuring that student information, examination bookings, results and associated records are accurate, organised and managed in accordance with the relevant National Authority requirements.
You will be a central point of contact for students, external candidates, invigilators, degree course providers and internal teams throughout the examination process. With approximately three examination weeks each month, this is a busy and varied role that requires excellent organisation, attention to detail and the ability to manage multiple deadlines.
The role reports to the DCTKI/CTKI on a day-to-day basis, with regular oversight from the CTKI and responsibility for providing relevant examination information and reporting to the wider business.
This is a full-time role working 37.5 hours per week, based at our Oxford Campus.

ROLE DUTIES
- To request student data on first arrival and upload appropriate documentation
- To prepare exam and student information in MS Excel & Word with approx. 3 exam weeks per calendar month.
- To plan and book ATPL CAA & EASA exams in a timely manner using MS word as well as CAA software in strict accordance with the National Authority Policies and Procedures.
- Keep this information safe, organised and up to date, using checklists to keep track.
- To report any discrepancies to the CTKI/DCTKI immediately.
- To keep financial records of the exams and report them to the business and request exam fees in a timely manner.
- Book in EASA invigilators to ensure adequate coverage.
- Work with both CAA & EASA invigilators and support them during the exam week.
- Receive, send out and record all exam results.
- To sit in the exam admin office for the duration of the EASA exams.
- Update exam workbooks as required.
- Work with the Degree Course providers about student progress.
- Work with external candidates who are sitting at LEA.

CORE COMPETENCIES
- An experienced administrator, with excellent I.T skills, and be proficient in the full use of Microsoft Suite
- Strong organisational skills
- Excellent written and verbal communication skills with a positive and enthusiastic personality and outlook
- A can-do attitude with the willingness to go the extra mile for the Customer
- The ability to remain calm.
- An understanding of GDPR
- The ability to prioritise workload.
