Role Overview

As Group Company Personal Assistant, you will be a trusted and highly organised support to the CEO and Group Directors, ensuring the smooth coordination of leadership activity across Indevor Group.

This is far more than a traditional administrative position. Acting as the central point of coordination between the Board, Executive Leadership Team (ELT), Senior Management Team (SMT) and wider business, you will help create structure, accountability and clarity across both strategic and day-to-day operations.

The role requires exceptional organisational skills, emotional intelligence, sound judgement and complete discretion. You will proactively manage priorities, coordinate key meetings, monitor actions through to completion and protect the CEO's time, enabling senior leaders to focus on driving the business forward.

Success in this role requires someone who is proactive, highly dependable and comfortable working in a fast-paced environment where priorities can change quickly. You'll become an integral part of the leadership team, helping maintain the high standards, culture and operational discipline that underpin Indevor Group's continued growth.

Responsibilities

Executive Support:

  • Provide high-level executive support to the CEO and Group Directors.
  • Proactively manage the CEO's diary, ensuring time is prioritised effectively.
  • Act as the primary point of contact for all meeting requests to the CEO.
  • Challenge unnecessary meetings and ensure requests include a clear purpose, agenda and required outcomes.
  • Coordinate complex diaries, appointments and travel arrangements.
  • Handle confidential information with absolute discretion.

Board & Leadership Coordination

  • Prepare agendas for Board and leadership meetings.
  • Gather updates and agenda items from Directors, ELT and SMT ahead of meetings.
  • Attend weekly Directors' meetings and other leadership meetings where required.
  • Produce accurate meeting minutes and action logs.
  • Track actions through to completion, ensuring accountability and timely follow-up.
  • Coordinate communication between the Board, ELT and SMT.

Coordination & Administration

  • Prepare presentations, reports, Board papers and business documentation.
  • Maintain accurate business records and documentation.
  • Coordinate cross-functional projects and administrative activities.
  • Support senior leaders in delivering strategic priorities.
  • Maintain organised administrative systems.

Task & Priority Management

  • Maintain and manage the Group Task Priority Sheet.
  • Ensure work is prioritised appropriately across High, Medium, Low, and Backburner priorities.
  • Provide visibility of outstanding actions, risks and blockers.
  • Follow up with stakeholders to ensure actions remain on track.

Office Management

  • Oversee the day-to-day management of the office environment, ensuring high standards are maintained.
  • Manage meeting room bookings and coordinate room availability across the business.
  • Coordinate office supplies and essential stock, ensuring appropriate levels are maintained.
  • Liaise with suppliers to ensure the smooth running of office facilities and services.
  • Support the organisation of the office, promoting a professional, efficient and well-maintained working environment.

  • Support the Board in reinforcing the Group's values, culture and expected behaviours.
  • Maintain observations relating to positive and negative cultural behaviours where appropriate.
  • Help maintain a professional, organised and high-standard working environment.
  • Promote accountability, ownership and attention to detail throughout the business.
